Position Overview:
We are seeking a highly organized and personable Front Desk Associate to join our team at a premier MedSpa in San Francisco, CA. We are located in between Financial District and Union Square. The ideal candidate will have excellent customer service skills, be detail-oriented, and possess the ability to multitask in a fast-paced environment. In addition to front desk duties, the individual will also help manage the clinic's social media accounts.
We are offering FULL-TIME and PART-TIME roles.
Responsibilities:
As training is provided, previous administrative experience is not required, but a huge plus. Responsibilities include but are not limited to:

  • Greet and welcome clients in a professional and friendly manner.
  • Check-ins/outs, schedule follow-up appointments, handle all payment transactions.
  • Engage as a resource to provide recommendations for all MedSpa treatments and products we offer
  • Mitigate minor client complaints/issues with compassion and professionalism; prompt and accurate relay to management for major client complaints/issues.
  • Answer and direct phone calls, schedule appointments via phone and email, and manage patient flow.
  • Maintain patient records and ensure all necessary paperwork is completed accurately.
  • Assist with administrative tasks including computer data entry.
  • Opening/Closing the MedSpa along with minor upkeep of lounge areas.
  • Social Media Management:
    • Capture content in the clinic daily
    • Create engaging and visually appealing content including reels and stories for the clinic's social media accounts (Facebook and Instagram).
    • Schedule and post content daily to maintain a consistent online presence.
    • Monitor and respond to comments and direct messages in a timely and professional manner.
    • Engage with the online community, fostering positive relationships and addressing any inquiries or concerns.
    • Collaborate with the marketing team to align social media efforts with overall marketing strategies.
    • Analyze social media metrics to measure the success of campaigns and suggest improvements.

  • Exceptional time management and organizational skills, with an emphasis on keen attention to detail
  • Tech-savvy (email/typing, mobile devices, POS, scheduling software, general knowledge of Windows/MAC OS)
  • Excellent communication skills, both oral and written, and the ability to communicate courteously and professionally with clients, coworkers and management
  • An interest in the beauty industry, especially beauty-service industry
  • Available to work some Saturdays

  • Comfortable using Canva or similar design software
  • Creative mindset with the ability to develop innovative content and engagement strategies
++Knowledge of MDWare or Zentoi Software a big plus
++Prior experience in customer service a plus
Experience:
  • 2-3 years (preferred) in a customer-facing role
  • 1-2 years (preferred) of social media management
