Job Summary

As an Accounts Payable Supervisor, you will play a pivotal role in overseeing the day-to-day operations of the accounts payable function within our organization. Working closely with the P2P Manager, you will lead a team of accounts payable specialists to ensure the accurate and timely processing of invoices, payments, and expense reports. Your responsibilities will include supervising the team, resolving escalated issues, and implementing process improvements to enhance efficiency and accuracy. Additionally, you will collaborate with cross-functional teams to streamline procedures, maintain compliance with company policies and regulatory requirements, and contribute to financial reporting accuracy. The ideal candidate will possess strong leadership skills, attention to detail, and the ability to work effectively in a fast-paced environment while delivering high-quality customer service to internal and external stakeholders.

This is a Hybrid position and requires three days on-site at our Rockville, Maryland office.

Job Responsibilities

  1. Manage and oversee the day-to-day operations of the accounts payable team, ensuring accurate and timely processing of invoices (PO and non-PO), posting, payments, and expense reports balancing in compliance with government regulations and contract requirements.
  2. Manage and maintain Accounts Payable Outlook inboxes; manage workflow in SharePoint.
  3. Ensure adherence to government contracting regulations such as the Federal Acquisition Regulation (FAR) guidelines.
  4. Continuously assess and improve accounts payable processes and procedures to enhance efficiency, accuracy, and compliance. Implement best practices and automation tools to streamline workflows and reduce manual errors.
  5. Provide guidance and support to ensure team members understand their roles and responsibilities effectively.
  6. Collaborate with other departments, such as procurement, contracts, and project management, to facilitate the smooth flow of information and ensure alignment with project budgets and contract terms.
  7. Ensure adherence to company policies, procedures, and ethical standards in all accounts payable activities. Maintain confidentiality and integrity of financial data and transactions.
  8. Provide A/P related backup for customer billings to A/R personnel.
  9. Respond to vendor inquiries and internal stakeholders in a timely manner and assist with resolving payment issues.
  10. Assist with year-end 1099 filing.

Basic Qualifications:

  1. Typically requires a bachelor's degree in business, accounting, finance, or other related field with at least 8 years of experience in accounts payable, or an equivalent combination of education and experience, and a minimum of 2 years in a supervisory role.
  2. A minimum of 3 years’ experience in Costpoint software to include working experience with AP Module, Materials Module.
  3. Demonstrated knowledge and work experience with procure-to-pay cycle and GovCon.
  4. Demonstrated experience in processing invoices, payments, and expense reports.
  5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), to include experience with pivot tables and v-lookups.
  6. Experience with AP invoice automations, vendor management, and Purchase Order process.

Preferred Qualifications:

  1. Certifications such as Certified Accounts Payable Associate (CAPA) or Certified Accounts Payable Professional (CAPP).
  2. Relevant training or certification in government contracting regulations and compliance may also be beneficial.
  3. Demonstrated analytical and problem-solving skills, with the ability to identify and resolve complex issues.
