This position offers remote work allowing employees a combination of onsite and work from home options. The expected remote work schedule for this position will be determined upon hire and based on department needs.

Job Summary
Paradise Valley Community College (PVCC) is seeking a Administrative Specialist Senior to provide advanced administrative office support, and/or program coordination activities for the Behavioral Sciences Division. Our ideal candidate will have strong customer service skills in order to support students, faculty, and community members. The qualified person has experience working with a diverse population and they will act as the first point of contact for the Behavioral Sciences Division. The ideal candidate should also possess the ability to solve problems and resolve issues independently, or direct requests to the appropriate resources when necessary. We are searching for someone that is comfortable using technology such as Google Workspace and is willing to learn other internal online systems.

Essential Functions
40% Provides administrative support by performing the following duties: composes documents, maintains financial and academic records/files, maintains master calendar for division; provides office reception; manages phone system; assists with student registration and with the planning and implementation of various divisional events/programs and services including intercampus collaborations; monitors and coordinates services such as maintenance, media, printing, and word processing with college/district departments and external organizations; coordinates and provides research assistance on special projects and programs; maintains statistical data forprograms and services; orders supplies; creates purchase orders and requisitions; tracks expenditures; and, assists with budget preparation, monitoring and maintenance.
30% Supports residential and adjunct Behavior Science faculty by accessing class rosters; ordering and delivering supplies to instructors and classrooms; making copies of course materials; providing basic computer related and copier support; preparing and maintaining confidential personnel and payroll records; ensuring currency of faculty certification; assisting with faculty orientation; and developing divisional promotional materials.
20% Greets visitors and responds to inquiries requiring a detailed knowledge of policies and procedures. Participates in the division meetings and records and distributes minutes. Assists students with enrollment issues and provides courtesy calls to students regarding scheduling changes. Directs the work of potential Federal Work Study student(s).
10% Performs other assigned duties which are commensurate to grade level of position.
Minimum Qualifications
Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
1. Two (2) or more years' experience in an advanced administrative position
2. Office experience in a higher education or public institution
3. Experience working with a diverse population
4. One or more years' experience with Google Suite and/or Microsoft Suite
5. One or more years' experience as a lead worker or overseeing a program

  • May require possession of a valid State of Arizona Class D Driver's License or other state license; employee must meet district minimum standards regarding driving:
  • Travel to campus during interview/selection process will be at candidate's own expense

  • May require travel or work at the Black Mountain campus
