Job Summary and Qualifications

As the Facility HIM Director Float (FHIMD Float), you will be responsible for temporarily leading, managing, and coordinating the hospital-based HIM operations and workflow while the FHIMD vacancy is being recruited/secured or to cover for an existing FHIMD’s extended leave of absence. Duration at a given site will vary (e.g., a few weeks or a year+). You will assist the Regional HIM Director with the oversight and implementation of facility related HIM Service Center (HSC) operational planning, service level agreements, budgets, workflow processes, and internal controls. You actively participate in the facility-based unbilled management process and resolution of issues contributing to unbilled accounts. You will serve as a promoter of the HSC and will be the on‐site “face” of the HSC.

This position will require 25-30% travel and will potentially travel to the following states: Alaska, California, Idaho, Kentucky, Nevada, Tennessee, and Utah. At times, travel may be heavy.

In this role, you will:

  • Responsible for leading and managing facility-based HIM operations and staff including, but not limited to, record pick up and reconciliation, release of information request processing, hardcopy retrieval of medical records, processing of birth certificate/paternity, document imaging (prepping, scanning, and indexing), physician chart completion and unbilled activities. At times may assist in performing these functions.
  • Responsible for the management of the hospital-based HIM staff, including hiring, coaching, disciplining and counseling staff, and productivity and quality monitoring.
  • Participate in communication and customer service efforts with HIM personnel, facility departments, facility department and unit leadership, facility leadership and medical staff.
  • Ensure all applicable EHR and Computer Assisted Coding (e.g., HPF, MPF, Cerner, Epic, MEDITECH) workflow queues are worked according to established workflow policies and guidelines.
  • Work collaboratively with Medical Staff and Facility Leadership to comply with standards and guidelines enforced through the hospital’s Medical Staff Bylaws/Rules and Regulations.
  • Provide and/or assist the HIM staff in providing EHR/3M 360 Encompass record completion and medical record viewing training and education to medical staff members and to other clinical and ancillary personnel.
  • Primary facility contact for external agencies requiring on‐site viewing of medical records.
  • Proactively manage significant issues in HIM operations (e.g., backlogs, turnover), status of projects, barriers and successes.
  • In conjunction with, and under the leadership of the HSC COO, HSC ACOO and/or Regional HIM Director, serve as a liaison between the HSC and Facility Administration, Facility Department Leadership, and Medical Facility Staff Leadership.
  • Active participant in preparing for or assisting with external agency reviews of the facility.
  • May also serve as the Facility Privacy Official, Records Management Coordinator, RAC Coordinator, and/or perform state reporting duties.
  • May serve, or serve in conjunction with the Regional HIM Director, on facility committees.
  • May serve, or serve in conjunction with the Regional HIM Director, as the Medical Record Custodian including making court appearances and facilitating certification of medical records as applicable.
  • Assist the Regional HIM Director in the development of strategy, specific goals, objectives, budgets, and performance standards relative to the facility HIM operations.
  • Coordinates training and education of facility-based HSC staff.

What qualifications you will need:

  • Bachelor’s Degree in Business or related field required. Degree requirement may be substituted by current enrollment in a Bachelor Degree program or equivalent work experience with CEO approval.
  • A minimum of one year of HIM department experience is preferred; three or more years is strongly preferred.
  • A minimum of one year healthcare management experience is strongly preferred.
  • RHIA or RHIT strongly preferred.
