Job Summary
The HR Coordinator IV is responsible for managing key aspects of the candidate hiring process, including interview scheduling, travel coordination, offer letter creation, and onboarding.

MUST BE LOCATED in San Jose, California
Pay: $20-23/hr, 40 hours a week
Contract: 4 months

This role involves working within the Smart Recruiters applicant tracking system and assisting with administrative tasks to support staffing and human resources functions. The HR Coordinator IV will also contribute to project teams, maintain accuracy in data entry, and provide support to both employees and candidates.

Key Responsibilities

  • Manage candidate interview scheduling and coordinate interview travel.
  • Verify job details and process offer letters through Smart Recruiters.
  • Initiate pre-hire onboarding for new employees.
  • Assist in the new-hire orientation process as needed.
  • Enter data into automated systems, audit for accuracy, and verify documents.
  • Maintain employee and candidate files.
  • Provide information and respond to inquiries from employees and candidates.
  • Assist with complex administrative processes and expense report processing.
  • Prepare special reports for management as required.
  • Participate in project teams and provide creative solutions for challenges.

Required Qualifications

  • Strong understanding of administrative operations in staffing and HR.
  • Excellent attention to detail with the ability to multitask.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience with applicant tracking systems (ATS), preferably Smart Recruiters.
  • Strong interpersonal skills, with the ability to maintain confidentiality and follow ethical practices.
  • Experience drafting business correspondence.
  • Strong organizational skills and a commitment to accuracy.
  • Ability to communicate effectively with employees, candidates, and management.
  • Knowledge of employment laws and regulations governing HR practices.
  • Ability to work in a fast-paced environment.

Preferred Qualifications

  • Previous experience in a Talent Acquisition function.
  • Diploma in Human Resources, Business, Psychology, or a related field.
  • 2-4 years of related experience or an equivalent combination of education and experience.
