Role Summary:
The Lead, Workplace Construction (Workplace, R&D, Small Works) role will work closely with the Real Estate, Design, Operations, and Purchasing managers leading Facilities construction projects to ensure all financial, administrative, contractual, and technical aspects of multiple projects are being executed, as required. Facilities associated with this role may include, but are not limited to, office space, lab and R&D space, conference rooms, team rooms, cafes, restrooms, public and employee entrances, logistics facilities, and other amenity spaces.
The Lead, Workplace Construction role will be based in Palo Alto and will report to the Senior Manager, Workplace Development and is responsible for successful delivery of Workplace project(s) within Rivian’s Facilities portfolio. This role is the primary contact for each assigned project and actively collaborates with the project Real Estate, Design/Architecture, Operations, Security, and Finance Managers, among other cross function partners internal and external to Rivian.
Responsibilities:
Develop work plans and oversee performance of general contractors, and occasionally directly oversee trade subcontractors and/or vendors
Oversee the work for compliance with schedule, budget, quality, safety, and overall conformance with the contract documents
Project responsibilities include oversight of the projects from concept (via Operations/Real Estate managers), design, construction, and operations (warranty & maintenance)
Collaborate with Purchasing on the creation of contractor and vendor RFP documents (scope narratives, schedules, etc.), attend job walks and selection/award review meetings
Establish and/or review contract documents and manage procurement, pre-bid conferences, and evaluations
Coordinate activities with other Rivian staff, departments, and public agencies
Quickly resolve field construction challenges in coordination with the design team, engineering staff, third parties, and other agencies, as necessary
Chair progress meetings, complete status reports, and deliver presentations, as required
Communicate project health (budget, schedule, quality) to Rivian leadership via in-house Rivian program/dashboard
Recommend policy and procedure improvements
Assist in negotiating with contractors regarding changes to design, construction work scope, and schedules
Support a quality audit program, oversee contractor corrective actions, and ensure a quality project conforming to plans and specifications
Monitor and/or resolve claims, suggest ways to mitigate impacts, and develop workarounds
Support Rivian safety vision and comply with all safety rules, policies, and procedures
As appropriate to project(s), manage, direct, and oversee performance of development partners and other third-party service providers
Oversee the Workplace Small Works Program, managing cost, schedule and financials for the group
Forecast annual Small Works cost and headcount partnering with internal finance team members to obtain annual budgets and personnel
Provide and develop financial reporting tools measuring KPI’s for the Small Works Program
Develop and ensure accuracy for Small Works Program dashboards to use when communicating program updates on a weekly, monthly, and annual basis
Work with Stakeholder leadership on improvements to the Small Works Program while identifying key projects ensuring their successful delivery
Attend all weekly Small Works Ingestion meetings to challenge stakeholder submissions and needs while identifying project requirements and assigning projects team members to execute the work
Ensure workflow and collaboration of the facilities Small Works team members and adjacent partners in Finance, Purchasing, Real Estate, Operations, Design, IT, Security, Building Engineering, etc.
Maintain Small Works Program accuracy of as-builts, files, permits, scope and finances
Act as the main point of contact for all issues and items being escalated through Small Works
Manage all Small Works projects in Palo Alto and remote locations across the business
Qualifications:
A bachelor’s degree in engineering, architecture, or construction management, is preferred, or similar number of years of experience in the field; and ten (10) years in industry, with (5) years of progressive experience managing construction projects of similar size and complexity.

Pay Disclosure:
Salary Range for Palo Alto, CA based applicants: $135,000 - $169,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).
