JOB SUMMARY

The District Office Manager supervises the day-to-day flow of accounting information and Communications functions of the District.
 

DUTIES AND RESPONSIBILITIES
 

1. Assist District Manager and CFO with the supervision and implementation of dealership accounting policies, procedures and standards.  Assists Auditing Accountant in tasks assigned from time to time, including monitoring of district receipts and deposits and generating daily cash reports.
2. Summarize and report daily cash receipts received for home branch and report to corporate as instructed including daily performance of the following tasks:
a. Obtain an approval on COD checks per the guideline for out of area checks and checks over $500.00. Refer to instructions from American Check Management to obtain approval or decline. 
b. Scan all POS sales with form of payment information into Docuware including check stubs, deposit slips & checks.
c. Prepare and send credit card summary spreadsheet to SLC 
d. Perform cash deposit daily for all currency collected.  If non Zion’s local account, cut and deposit local account check into Zion’s anytime deposit machine.
e. Perform petty cash reconciliation for all district stores daily and submit to Salt Lake at the end of every month.  Petty Cash reimbursement must be submitted with all backup documentation and petty cash reimbursement form completely filled out.
f. Do anytime deposit for all checks.  Scan and send all supporting documents.
3. Supervise and/or perform accounts payable administration, including:
a. Scan all payables transactions into Docuware.
b. Scan and email all non PO payables invoices.
c. Prepare and send payables spreadsheet to SLC.
4. Take primary responsibility to ensure District Admin Assistant Staff are trained and follow the same procedures as outlined in steps #2 & #3.  Track and ensure all cash and A/P submittals from each store are happening on an accurate and timely basis.
5. Provide training to Admin Assistant Staff on all their job functions.  Be a resource to Admin Assistant Staff for any and all questions and concerns.  Provide feedback to District Manager on Admin Assistant Staff’s efficiency, competence and job performance.
6. Assist F&I and /or Sales personnel with his/her duties, including title and licensing of trucks, company vehicles, filing, typing, copying and faxing.  Verify closed truck files as to having the appropriate documentation in them prior to logging and filing. Cure all file deficiencies.
7. Generate and maintain all District personnel records.  Coordinate all payrolls, benefits administration, and other personnel issues with Human Resources Manager, Personnel Clerk and other branch managers.
8. Regularly monitor district record keeping to ensure all locations are scanning in accordance with policy and all physically maintained records are destroyed in accordance with corporate record retention policy.
9. Answer telephones and be point of contact for branch administrative duties.
10. Coordinate and cooperate with other branch and staff managers.

QUALIFICATIONS
Ability to read and comprehend instructions and information. 
High school diploma or the equivalent. 
Two years of accounting or related experience, including accounts payable and accounts receivable. 
Excellent communication, supervisory and organizational skills. 
Professional personal appearance.
WORKING CONDITIONS

The majority of the time this job will require desk work, including use of computer video monitor, telephone, ten-key calculator and completing paperwork.  May be required to lift up to 20 pounds.  Will stoop, kneel, crouch, crawl, reach, handle and feel. Will be exposed to noise, vibration, dust, exhaust fumes, paint, and other hazardous and nonhazardous materials. . S/he will be required to travel within the district as needed.
