Job Requirements / Description

Structural Integrity Associates, Inc. (SIA) is seeking an individual with a professional demeanor and positive attitude to provide general office administrative support. This position will be responsible for various clerical and administrative activities and tasks for our San Jose, CA office, as well as supporting several Corporate Services departments. The position will be full-time, onsite, Monday through Friday from 8am to 5pm.


Responsibilities:

  1. Respond to and direct inquiries and telephone calls to appropriate parties; retrieve, open, and route mail
  2. Greet visitors and ensure they sign in and out of the premises
  3. Coordinate office activities, including meetings, travel, meals, etc.
  4. Maintain office/kitchen supplies by checking stock to determine inventory levels, place & expedite orders, verify receipts, stock items, and deliver supplies to workstations
  5. Coordinate internal meetings onsite or offsite, develop and distribute instructions, coordinate room setup logistics, interface with meeting attendees, and facilitate arrangements
  6. Assist with other clerical duties such as photocopying, faxing, filing, collating, mailing/shipping, and receiving
  7. Interface with facilities management, contractors, and service providers, including coordinating office space and setup for new hires, employee transfers, and visitors, as well as coordination of needed repairs or other projects
  8. Generate and format MS Word documents as directed
  9. Provide administrative support to other departments as needed

Requirements:

  1. High school diploma or equivalent (GED)
  2. Two plus years of relevant experience
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  4. Organized and able to juggle multiple priorities, display a professional, positive attitude, and maintain confidentiality
  5. Ability to work independently on assigned tasks as well as to accept direction on given assignments with minimal supervision
  6. Able to work collectively with the administrative team associates
  7. Regular attendance and punctuality are essential
  8. Friendly and outgoing personality
  9. Desire to become a team member
  10. Proactive and Helpful

The expected pay rate for this role is $20 to $30 per hour. Exact pay will be commensurate with experience.
