Department Summary

Founded in 1994, UCLA Luskin School of Public Affairs incorporates the best practices in scholarship, research and teaching in the fields of social work, urban and regional planning, and policymaking. The Financial Services Office resides within the Dean's Office, providing core business services to faculty, students, and staff with a primary focus on contract and grant administration, financial management and analysis.


Position Summary

Under the supervision of the Controller/Assistant Director of Budget & Finance, the Procurement Specialist (The Specialist) primary responsibility is purchasing and reimbursements for a complex academic and research school, as well as budgetary and financial transactions. The Specialist processes purchase orders, invoice payments, travel, purchase reimbursements, and recharges. They provide administrative back-up and accounting support to all members of the Business Office as needed. Responsibilities include managing BruinBuy Plus (Procurement System), Concur (Travel/Reimbursement System), Non-Payroll Expenditure Adjustment (NPEAR), and recharge transactions. The Specialist creates spreadsheets as appropriate to manage records, order requests, forecast needs, monitor trends, and assist in updating the unit website. They also assist in the preparation of fiscal close transactions and requests and complete special projects for the CFO, Assistant Director of the Business office, and other staff as assigned.

Qualifications
  1. Demonstrated experience with university accounting, purchasing and travel online systems, with general working knowledge of applicable university policies and procedures. (Required)
  2. Knowledge of purchasing practices sufficient to conduct the school purchasing functions (Required)
  3. Demonstrated skill utilizing online systems including BruinBuy Plus, Concur Travel Express, OASIS, QDB, TOF, DDF, MTF and Non-PEARS (Required)
  4. Excellent interpersonal and customer service skills to establish and maintain cooperative working relationships with university faculty, graduate students, guests, staff, other university departments and outside vendors. (Required)
  5. Demonstrated skill in performing detailed work with a high degree of accuracy. (Required)
  6. Excellent organizational and prioritization skills, with demonstrated multi-tasking skills to work efficiently and effectively with multiple priorities and frequent interruptions required. (Required)
  7. Skill in working as part of a team, collaborating with colleagues to achieve departmental objectives. (Required)
  8. Ability to professionally interact with individuals at all levels of the organization (Required)
  9. Ability to work independently and handle complex multiple assignments. Assess situations and problems, identify solutions, and refer to supervisor as necessary. (Required)
  10. Demonstrated proficiency with MS Word, Excel, Access, and Outlook. Skill in conducting research on administrative, policy, and academic issues. (Required)

Education, Licenses, Certifications & Personal Affiliations
  1. Bachelor's Degree in related area and/or equivalent experience/training (Required)
