Job Requirements / Description

Assist with the planning of and oversee all aspects of Presidential, Ceremonial and Development events including breakfasts, lunches, dinners, receptions and any other event programming across campus or scheduled location.Work with the University Events office to compile guest invite and check-in lists and provide support for registration at special functions, greet guests, coordinate and ensure all guest arrival logistics.Work with communications team and graphic designers to ensure all design materials meet all elements of quality to meet event objectives and budget parameters. Research and present new ideas for event support and swag items.Ensure invitations, programs, signage, visual graphics or other print or digital imagery and collaborate with event partners to oversee physical mailings and digital invite distribution, manage deadlines and internal presentation needs.Recommend caterers, draft menu selections, obtain quotes within budget and assist with dcor ideas, as directed by project managers and senior department leaders.Perform research on new vendors, activations and experiences (via social media, Internet research and by attending industry conferences/events) and present to the Project Management team.Coordinate and arrange all facets required for parking, transportation and security for each event. Coordinate all student volunteers needed for events. Work with other university events team members to deliver the highest quality of events.Assist in securing venues, hotels and services needed for special events and coordinate with hotels on special requests for University VIPs/donors and per Chief Experience Officer/Executive Director requests.Support and assist other University Events team members on events as available.
