Atlanta Track Club is a nonprofit committed to creating an active and healthy Atlanta. Through running and walking, Atlanta Track Club motivates, inspires and engages the community to enjoy a healthier lifestyle. With more than 30,000 members, Atlanta Track Club is the second largest running organization in the United States. In addition to the Atlanta Journal-Constitution Peachtree Road Race - the largest 10K in the world, the Publix Atlanta Marathon, the PNC Atlanta 10 Miler and the Invesco QQQ Thanksgiving Day Half Marathon, Atlanta Track Club directs more than 40 events and programs per year. Through the support of its members and volunteers, Atlanta Track Club also maintains a number of community initiatives including organizing and promoting its Kilometer Kids youth running program to metro Atlanta youth, honoring high school cross country and track and field athletes through Atlanta Track Club's All-Metro Banquets as well as developing an elite group of Olympic level athletes on their athletic journeys.
Position Overview: Reporting to the Senior Manager - Volunteers & Event Experience, this position will be responsible for executing assigned responsibilities for all Atlanta Track events. The Volunteer Coordinator should have experience in group management, volunteerism, and preferably, but not required, the running industry.
Responsibilities:
- Coordinate recruitment and retention efforts for volunteers for 40+ ATC events, office projects, seminars, meetings, celebrations, and running expos
- Manage groups of 1000 + volunteers for the ATC's major events, which include but are not limited to, AJC Peachtree Road Race, PNC Atlanta 10 Miler & 5K, Invesco QQQ Thanksgiving Day Half Marathon, 5K, Mile & Dash, and Publix Atlanta Marathon Weekend
- Maintain and update the volunteer database, volunteer request forms, and sign-ups for all volunteer events
- Organize, draft, and send volunteer emails and informational webpages with event-specific information to volunteers, crew chiefs, partners, and other constituent groups, including the volunteer newsletters and daily responses through the volunteer department email
- Assist in ensuring logistics for all volunteer areas are accounted for and successfully executed for all races, which includes prepping, packing, and scouting for events.
- Maintain the Volunteer Rewards Programs, including the Volunteer of the Month and Volunteer of the Year selections
- Set and lead new crew chief orientations with a quarterly presentation
- Maintain the organization and cleanliness of volunteer areas before, during, and after any event or in-office volunteer opportunity
- Develop and maintain positive relationships with current and future individuals, organizations, and corporations who volunteer with Atlanta Track Club
- Input and maintain any volunteer opportunities on all recruitment platforms (i.e. Volunteerlocal, MyVoluntier, HandsOnAtlanta, etc.)
- Work cross-departmentally and externally to promote Atlanta Track Club volunteer opportunities
- Welcome and engage with volunteers, presenting clear and compelling information on Atlanta Track Club's mission, programs, and volunteers' contributions to our organization for all events and in-office opportunities
- Share and track feedback with staff to acknowledge strengths, and successes and to make improvements for future activities
- Other duties as assigned or requested
- 3 - 5 years of volunteer or event management experience
- Excellent communication skills, written and verbal
- Experience in the coordination communication with large groups of individuals
- Ability to work with individuals with a variety of personalities, backgrounds, and skill levels
- Database Management experience
- Must be a self-starter and possess the ability to work both independently and as part of a team
- Must be highly organized, efficient, and detailed
- Proficiency in Microsoft Office 365
- Ability to work under pressure
- Willingness to work weekends, holidays and extended hours as needed.
