We are seeking an experienced and detail-oriented Office Manager for our Houston office. The Office Manager will play a key role in the smooth operation of our office by overseeing day-to-day administrative functions while handling key accounting responsibilities, including payroll, accounts payable (A/P), accounts receivable (A/R), and billing.
The position is onsite - Monday-Friday 8:00 am - 5:00 pm. You will report directly to senior management. As a strong office manager, you will have a hands-on approach, outstanding organizational skills, and proficiency in financial processes. Microsoft Dynamics is a huge plus.
Key Responsibilities:
Office Management:

  • Oversee general office operations to ensure efficiency and compliance with company policies.
  • Coordinate office supply orders, telephone point of contact, and facility management.
  • Act as a point of contact for internal and external stakeholders, vendors, and service providers.
  • Ensure compliance with all safety regulations and company procedures.
Administrative Support:
  • Support Regional Vice President with scheduling, meeting coordination, and travel arrangements.
  • Maintain confidential personnel records and ensure HR documents are up to date.
  • Perform other administrative tasks as needed to support office operations.
Payroll Management:
  • Full comprehension of the bi-weekly/monthly payroll process, ensuring timely and accurate employee payments.
  • Review and verify payroll data, including timekeeping, deductions, benefits, and tax withholdings.
  • Address any payroll discrepancies and resolve employee payroll inquiries.
Accounts Payable (A/P):
  • Learn and understand the process of vendor invoices and payments, ensuring accuracy and timely submission.
  • Reconcile vendor accounts and manage purchase orders.
  • Review expense reports and ensure adherence to company policies
Accounts Receivable (A/R):
  • Know how to prepare and issue customer invoices in a timely manner.
  • Manage A/R aging reports and follow up on outstanding payments.
  • Coordinate with clients on billing inquiries and discrepancies.
Billing & Financial Reporting:
  • Ensure accurate and timely billing of clients according to contract terms.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.
  • Work with external auditors to provide necessary documentation and support during audits.
Qualifications:
  • 5+ years of office management and accounting experience, preferably in a service-oriented or facilities management industry.
  • Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite (Excel, Word, Outlook). Microsoft Dynamics a plus.
  • Strong understanding of payroll processes, accounts payable/receivable, and billing functions.
  • Knowledge of labor laws and payroll regulations.
  • Excellent organizational and multitasking skills with the ability to prioritize and meet deadlines.
  • Experience with enterprise resource planning (ERP) systems.
  • Strong attention to detail and problem-solving abilities.
  • Excellent communication skills, both written and verbal.
