The Senior Client Service Associate is a detail-oriented executor who handles recurring operational responsibilities for our clients and for our team. They are familiar with all standard operating procedures and consistently execute these procedures to a high standard. They provide world-class, cross functional support to both clients and advisors. They must possess exemplary customer service, problem solving, and conflict resolution skills. Our ideal candidate is willing to go outside the box to solve a problem and always stand up for the client's best interest.
This role requires previous independent RIA Experience. Please do not apply if you do not have direct, independent RIA Experience. This role is 100% IN OFFICE in our Westport, CT office - no exceptions.
Job Responsibilities:
- Interacts daily with high-net worth clients, along with their trusted advisors (i.e., CPAs, attorneys, paralegal staff) to provide compassionate and white-glove service with every client and colleague.
- Works proactively in all facets of the role, consistently seeking out new opportunities to assist advisors in planning more efficiently, maximizing data integrity, taking the initiative to re-define practices, and identifying high-impact activities.
- Promptly responds to e-mails and client phone inquiries, communicates back to clients and advisors in a prompt, courteous, and helpful manner.
- Promptly resolves standard client service issues effectively and efficiently including, but not limited to: onboarding new clients, opening new accounts for existing clients, sending and receiving client deposits and withdrawals including but not limited to domestic and foreign wires, assisting clients with online custodian and portal access, writing letters of authorization for client signature and providing proof of fund letters on demand, managing client required minimum distributions, and interacting with client tax and legal professionals regarding client documentation needs.
- Scans, files and manages on-line documentation. Compiles industry-required KYC data from current or prospective clients and accurately enters data into CRM (Salesforce).
- Consistently documents all client communications within CRM across all communication mediums (fax, call, email).
- Participates in client meetings to facilitate the onboarding process and other complex administrative needs as they arise (i.e., Estate distributions, asset retitling, etc.)
- Assists advisors in distributing invoices and tracking collections.
- Maintains a positive attitude and a willingness/flexibility to help on high priority client issues. A "no task is too small" attitude is paramount.
- Performs tasks in a manner that display a commitment to excellence and team-defined practices.
- Protects clients' rights by maintaining confidentiality of all personal and financial information.
- Participates in firm client events (which may be after hours - usually 2-3 annually)
- Duties may evolve over time depending on firm initiatives and the development of specific skill sets acquired.

- You are a creative thinker with highly developed analytical skills who can quickly master the tools of the industry, including CRM (Salesforce), reporting tools (Black Diamond), and RIA / Custodian Systems (Fidelity, Schwab)
- Advanced proficiency with Microsoft Office products, especially Word and Excel, is essential. You will be responsible for the full functionality of software packages, reporting, and technology applications.
- You are comfortable working in a fast-paced, growth-oriented environment.
- You have the ability to remain calm, think on your feet, and exercise sound judgement under pressure.
- You are a low-ego team player who is excited about working in a true team, collaborative environment.
- 3-5+ years of applicable financial client service experience at a Registered Investment Advisor (RIA). Please do not apply if you do not have direct RIA experience.
- Associate or Bachelor's Degree
- Series 7 and 66 Licenses Preferred
