The Paralegal receives and manages Service of Process, processes legal invoices accurately and timely, facilitates business license renewals and annual trademark filings / renewals, registrations, tracks legal contracts and manages Legal Tracker as well as Co-Star. The incumbent will also provide legal support for the Real Estate team.
Essential Duties and responsibilities
· Contract review, and facilitate execution and distribution
· Manage tenant construction allowance qualification
· Manage lease default claims as well as performance of landlord obligations
· New vendor setup
· Assist in preparation of leases
· Assist with preparation of real estate committee packages
· Manage store construction due diligence
· Coordinate special event approval with external approvals
· Assist in the negotiation of procurement contracts
· Update and maintain Legal Tracker and Co-Star property management databases
· Prepare, update and maintain lease abstracts in Co-Star
· Coordinate with intellectual property counsel to monitor and protect trademarks and trade names
· Manage intake of service of process and subpoenas
· Manage responses to property management issues, including reviewing leases to determine scope of landlord-tenant responsibilities and communicate with landlords
· Manage store licensing compliance issues – license renewals and submittals
· Maintain up-to-date landlord database in Co-Star such that when properties change hands, obtain evidence of transfer and ensure proper legal docs are recorded and stored properly (Assignment and Assumption)
· Prepare estoppel certificates;
· Prepare SNDA’s
· Track sales kicks as well as renewals; gather pertinent information and manage the termination process;
· Communicate with landlords on repair issues
· Facilitate business license renewals and annual registrations
· Manage and track contracts and report relevant deadlines to appropriate departments
· Complete a broad variety of projects for Real Estate, Legal Department and Risk Management
· Manage legal communications between departments
· Insurance Certificates - responsible for requesting and logging insurance certificates from trade and non-trade vendors
· Legal files/records – responsible for updating Legal files and corporate records

· Strong computer literacy including Microsoft Word, Outlook, Excel, PowerPoint and document management systems

Experience, Education, Certifications
· Paralegal Certificate required.
· Associate’s degree is required; bachelor’s is preferred
· 7+ years’ experience supporting senior leaders, preferably in Real Estate
· Experience in a fast-paced corporate environment and proven ability to manage multiple priorities
· Superior written and verbal communication skills, including proofreading
· Ability to flex schedule for occasional weekend or evening work
· Experience working in a retail legal department a plus
