About this role

As our new Facilities Manager, you will be the guardian of our PACE center's operational continuity. You’ll ensure the environment is safe, clean, and welcoming for participants, staff, and visitors, while also making sure our facilities meet all regulatory requirements (CMS and DHCS). In this role, you'll oversee the maintenance of the building, equipment, and grounds, ensuring smooth operations to support the delivery of care. You'll coordinate repairs, manage vendors, and maintain compliance with safety standards, all while fostering a comfortable, functional space where seniors can thrive. This position uniquely blends hands-on leadership with strategic oversight.


What will success look like as our new Facilities Manager?

Facility Program Management

  • Program Development: Create and implement scalable systems for managing existing and future myPlace Care centers including but not limited to written plans for maintenance, documentation, monthly/quarterly/annual facility reviews.
  • Work Order Management: Receive and triage work orders through our Freshservice platform, prioritizing urgent issues and ensuring timely resolution.
  • Hands-on Maintenance: Perform minor repairs yourself (e.g., painting, cleaning, basic plumbing, simple electrical fixes) to keep the center in top shape.
  • Vendor Coordination: For more complex repairs and improvement projects, coordinate with external vendors (e.g., plumbers, electricians, HVAC technicians), overseeing their work and ensuring quality.
  • Maintenance Supplies: Maintain an inventory of essential supplies (cleaning products, light bulbs, etc.) and place orders as needed.
  • Preventive Maintenance: Schedule and track preventive maintenance tasks to minimize disruptions and keep equipment running smoothly.
  • Compliance: Work closely with the Compliance team to ensure our facility meets all federal, state, local, and organizational regulations.

Vendor Management

  • Relationship Building: Build rapport with our janitorial, waste removal, calibration, plumbing, electrical, fire & life safety, access control, wander management, nurse call, and elevator vendors.
  • Vendor Oversight: Ensure vendors meet service level agreements (SLAs), promptly address any performance issues, and provide excellent customer service to our team.
  • Contract Management: Maintain vendor contact lists, keep track of contract terms and renewals, and negotiate favorable rates when possible.
  • Landlord Collaboration: Partner with the landlord and their vendors to ensure the building's infrastructure is well-maintained.

Project Management

  • Facility Improvements: Manage repair or renovation projects initiated by team members, ensuring they are scoped, budgeted, approved, and executed within the established timeline.
  • New Facility Set-Up: Play a key role in setting up new facilities, collaborating with senior leadership, the PMO, and Care Delivery Operations to create a functional and welcoming space.
  • Event Support: Assist with furniture and A/V setup for events held at the PACE center.
  • Prioritization: Maintain a prioritized list of facility improvement projects, ensuring alignment with the center's needs and budget.
  • Information Sharing: Keep all relevant team members informed about construction, maintenance activities, and any potential disruptions to services (e.g., utility shutdowns).
  • Vendor Scheduling: Coordinate with internal team members and external vendors to schedule routine maintenance tasks.

People Management

  • Leadership & Supervision: Provide direct supervision, guidance, and mentorship to the facility maintenance team. Set clear expectations, provide regular feedback, and foster a collaborative and supportive team environment.
  • Performance Management: Conduct performance evaluations, identify areas for growth, and provide opportunities for professional development. Address performance issues promptly and constructively.
  • Scheduling & Coverage: Create and manage work schedules to ensure adequate coverage maintenance needs across our care centers. Address staffing challenges proactively, including covering shifts as needed.
  • Team Building & Culture: Foster a positive and inclusive team culture that aligns with myPlace Health's values. Encourage open communication, collaboration, and mutual respect among team members.

What does a profile of a successful Facility Manager look like?
  • Previous Experience: You have a proven track record of 3 or more years of experience in facilities management, ideally in a healthcare or senior care setting. Additionally, you have demonstrated success in leading and managing a team to achieve shared objectives.
  • Strategic & Adaptable Leader: You have more than 3 years of demonstrated People Leader skills. You thrive in dynamic environments, navigating shifting priorities with ease. You're a proactive problem solver, adept at finding creative solutions to complex challenges.
  • Passionate Advocate for Seniors: You have a deep-seated desire to enhance the lives of older adults and a nuanced understanding of the challenges they face, particularly within the PACE model.
  • Hands-On & Results-Oriented: You lead by example, rolling up your sleeves to tackle day-to-day facility operations while maintaining a strategic focus on achieving long-term goals.
  • Collaborative Relationship Builder: You foster strong partnerships with internal teams, external vendors, and regulatory agencies, ensuring seamless collaboration and effective communication.
  • Empathetic & Supportive Manager: You inspire and motivate your team, fostering a positive and inclusive work environment. You provide clear direction, mentorship, and opportunities for growth.
  • Detail-Oriented & Organized: You meticulously manage multiple projects and deadlines, ensuring no detail is overlooked. Your meticulousness extends to maintaining accurate records and compliance with regulatory requirements.
  • Technologically Adept: You embrace technology as a tool to streamline operations and enhance communication. You're comfortable using platforms like Freshservice and proficient in Microsoft Office Suite.
  • In-depth knowledge of building systems: A solid understanding of plumbing, electrical, HVAC, and security systems is essential for effectively managing facility maintenance and repairs.
  • Familiarity with healthcare regulations: Experience with CMS and DHCS regulations, particularly those related to PACE, is crucial for ensuring compliance and maintaining a safe environment for participants.
  • Project management expertise: Proven ability to plan, execute, and manage projects within scope, budget, and timeline demonstrates your organizational and leadership skills.

$109,500 - $125,000 a year

myPlace Health offers a robust compensation package for this role that includes cash compensation and other total rewards. Base pay is based on several factors including but not limited to education, relevant work and industry experience, certifications, and location of the role. Onsite roles include appropriate geographic adjustments, while remote roles are typically priced off national pay data.
