Job Summary
The Office Administrator will be responsible for managing office operations, ensuring cleanliness and organization, and providing key administrative support to the team. This includes handling office supply purchases, visitor reception, event coordination, and accommodation logistics such as rental car and hotel reservations. The role requires strong organizational skills, excellent communication, and attention to detail.
Key Responsibilities
Office Management & Cleanliness: 
  • Oversee day-to-day office operations, ensuring the office environment is clean, organized, and functional. 
  • Manage the staff room, ensuring it remains tidy and well-stocked with essentials (beverages, snacks, etc.).
  • Coordinate cleaning schedules and handle any required office maintenance or repairs.
 Office Supply Management: 
  • Handle the purchase and management of office supplies, ensuring that inventory is always sufficient and within budget. 
  • Track office expenses related to supplies and equipment, and process purchase orders in collaboration with finance.
Visitor Reception & Hospitality: 
  • Greet visitors upon arrival, ensuring a professional and friendly first impression. 
  • Serve beverages or refreshments to visitors during meetings as needed. 
  • Manage the reception area, ensuring it is welcoming and well-maintained.
Accommodation & Travel Coordination: 
  • Organize and coordinate travel arrangements for employees and visitors, including booking rental cars and hotel reservations. 
  • Assist with travel itineraries and ensure smooth logistics for business trips.
Administrative Support: 
  • Provide administrative assistance to executives and team members, including calendar management, scheduling meetings, and organizing business travel. 
  • Prepare, edit, and distribute documents, reports, memos, and presentations as required.
Event Coordination: 
  • Assist in planning and coordinating company events, meetings, and internal functions, managing logistics, catering, and materials needed for smooth event execution. 
  • Ensure timely communication and follow-up on event details.
Data & File Management: 
  • Maintain organized filing systems (physical and digital) for company records, ensuring confidential information is secure and up to date. 
  • Update databases and ensure accurate record-keeping.
Compliance & Policy Adherence: 
  • Ensure compliance with company policies and procedures and handle sensitive or confidential information with discretion. 
  • Support adherence to legal and regulatory requirements in all office operations.
HR Support: 
  • Assist with onboarding of new employees, preparing onboarding materials, setting up workstations, and scheduling orientation sessions. 
  • Manage employee records and provide administrative assistance to the HR department.
Qualifications
  • High school or equivalent , Office Management, or a related field preferred. 
  • Previous experience as an Administrator, Office Manager, or in a similar administrative role. 
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). 
  • Strong organizational, time-management, and multitasking skills. 
  • Excellent written and verbal communication skills. 
  • Ability to work independently and in a team-oriented environment.

Preferred Skills
  • Experience with office management software (ERP, scheduling tools, etc.). 
  • Basic knowledge of budgeting and financial tracking. 
  • Familiarity with booking travel accommodations and event logistics.

Employment Information:
Location: Onsite
Working Hours: Monday-Friday, 8 AM to 5 PM
Salary Range: $20.00 - $24.00 per hour depending on experience
