Summary:
We are seeking a proactive and organized Service Writer to join Esposito Construction. This role is essential for ensuring efficient shop operations, serving as the primary liaison between mechanics, the purchasing team, and clients. The ideal candidate will be responsible for managing work orders, ordering parts, tracking repairs, and assisting with the overall organization of the shop. This position focuses heavily on maintaining accurate documentation and supporting the shop's computer-related tasks.

Responsibilities:
  • Work Order & Documentation Management: Initiate, update, and maintain work orders throughout the repair process, ensuring accuracy and completeness. Document repairs, parts used, labor hours, and all other essential details in the company's system.
  • Parts Ordering & Coordination: Collaborate with mechanics to identify necessary parts for repairs and maintenance. Place orders through the purchasing team, track deliveries, and ensure that parts are available on time to minimize downtime.
  • Customer Communication: Act as the first point of contact for customers and internal teams, providing clear and timely updates on the status of repairs, estimated timelines, and costs.
  • Scheduling: Coordinate the scheduling of all repair and maintenance work with mechanics and shop management to maximize shop efficiency and ensure timely completion of repairs.
  • Organizational Support: Assist in organizing the mechanic shop, ensuring workspaces are tidy, tools are accounted for, and equipment is stored properly. Help establish processes to improve shop operations.
  • Computer & Administrative Work: Handle computer-based tasks such as updating service records, managing spreadsheets, tracking parts inventories, and generating reports for management. Ensure all necessary documentation complies with internal policies and industry regulations.
  • Warranty & Revenue Status: Evaluate whether repairs fall under warranty or are revenue-generating, providing customers with clear information on their options and ensuring that necessary approvals are obtained.
  • Invoicing & Payment Processing: Review, finalize, and approve work orders for invoicing. Calculate and process payments for COD repair orders and assist with any billing inquiries.
  • Customer Relations: Foster positive relationships with customers, projecting a professional image in all interactions, and providing high-quality service.
  • Other Duties: Perform other duties as needed to support the efficient operation of the shop.
Qualifications:
  • Education: High school diploma or equivalent.
  • Technical Skills: Proficiency in PC-based software, particularly Excel and Word. Experience with maintenance management or inventory software is a plus.
  • Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with customers, mechanics, and management.
  • Organizational Skills: Ability to prioritize tasks effectively, manage multiple work orders, and meet deadlines in a fast-paced environment.
  • Interpersonal Skills: Team-oriented, with a positive attitude and professional demeanor. Able to collaborate effectively with mechanics and purchasing teams.
