JOB SUMMARY

The Administrative Assistant is responsible for the submission of various regulatory required state reports and keeping detailed files for research and compliance purposes. Excellent organizational skills and attention to detail are critical. Some overtime and weekend work during peak work

  • Composes and prepares routine correspondence.

  • Corresponds with State insurance departments via phone, email, and mail.

  • Organizes and maintains file system, and files correspondence and other records.

  • Conducts research, and compiles and generates the necessary forms and check requests for annual fees relating to the annual state filings.

  • Prepares check requests for quarterly and annual premium taxes, makes the necessary copies and coordinates the return and payment delivery based on each
    state’s requirements.

  • Prepared and mails the quarterly and annual municipal premium taxes, which includes updating vendor addresses and generating the check requests.

  • Prepare mailings for both year-end and quarterly regulatory filings.

  • Maintain and update the checklists for quarterly and annual statutory state filing utilizing each state’s web site.

  • Determines the required filings for all states utilizing the reporting requirements provided by each state.

  • Orders and maintains supplies for department.

Required Skills

  • Working knowledge of Excel, Word, and Acrobat Pro
  • Ability to learn Premium Pro state filing software.
  • Adapting to unpredictability to meet deadlines set by state regulatory authorities.
  • Adaptable to changes and be prepared to put in the time to meet all deadlines.
  • Interaction with other members of the department and other departments within the organization.

Required Experience

Education and/or Experience:

  • Bachelors Degree; or one to two years related experience and/or training; or a comparable combination of education and experience.
  • To perform this job successfully, an individual should have knowledge of Accounting software; Database software; Internet software; Spreadsheet software
    and Word Processing software.

Qualifications:

  • Working knowledge of Excel, Word, and Acrobat Pro
