About the Job

This position will allow for a hybrid remote and on site work schedule. The supervisor will determine the appropriate balance that meets the needs of the department and the other priorities for workplace flexibility.

The Undergraduate Medical Education (UME) Elective Administrator oversees all medical student elective courses and activities across three departments: the Department of Neurosurgery, Department of Otolaryngology and the Department of Rehabilitation Medicine. The UME Elective Administrator reports to the Education Manager and partners with UME Faculty leadership in each department to administratively manage the elective courses and offerings. The successful candidate will be highly effective in coordinating and standardizing the administrative processes of each course and will serve as the first point of contact for all stakeholders. They will demonstrate initiative, resourcefulness, problem-solving skills and will be highly effective in organizing and independently prioritizing work, establishing procedures and systems and ensuring orderly and timely work flow. The successful candidate is comfortable in a fast-paced working environment, managing multiple priorities.

80% UME Elective Course Coordination
The Administrator serves as the first point of contact and informational resource for all undergraduate medical education courses and activities across the three departments, including both internal and external site partners. This position is responsible for managing all administrative aspects of the elective clerkships including, but not limited to:

  • Overseeing the rotation structure and assignments across various sites in the Twin Cities and Duluth and partnering to identify and implement changes, when necessary.
  • Onboarding students and managing attendance/time away.
  • Overseeing the process and timely completion of student evaluations.
  • Maintaining/updating curriculum resources and recommending/implementing annual changes to elective course syllabus.
  • Manage the process to ensure timely submission of student grades.
  • Ensuring file retention and documentation are maintained per guidelines and policies.
  • Oversee the administration of course-specific educational activities and meetings.
  • Monitoring, maintaining, and effectively communicating program reporting requirements to program stakeholders.
  • Recommending broad-level solutions in response to frequent Medical School policy changes.
  • Attending and, at times, leading any meeting deemed necessary to support the initiatives set forth by program leadership and the Medical School.
  • Assisting with coverage when there is a vacancy.
  • Assisting with supporting the Student Interest Group activities for each department.

20% Additional Learner Support
The Administrator serves as the first point of contact, informational resource and administrative support for:

  • All observers, undergraduate and external learners for the Department of Rehabilitation Medicine. They will oversee all required processes, documentation and/or scheduling.
  • The Otolaryngology Future Scholars program, a one-week program focusing on increasing diversity in Otolaryngology. They will manage student travel, lodging, onboarding and coordination of events for the week.
  • The Administrator assists in supporting:
  • The Department of Otolaryngology Cultural Complications Conference.
  • All educational projects and/or events as needed

Qualifications

Required Qualifications:

  • BA/BS degree or combination of related education and work experience in medical or medical education settings equal to four years
  • Outstanding communication (oral and written), interpersonal, and organizational skills with keen attention to detail
  • Demonstrated ability to prioritize and move multiple projects forward at the same time
  • Demonstrated initiative in problem-solving and implementing innovative solutions
  • Ability to work and partner across varying levels of an organization, i.e., leadership, colleagues, and trainees
  • Experience utilizing a variety of computer applications including MS Office Suite, Google
  • Appreciation for ambiguity and changing priorities

Preferred Qualifications:

  • Work experience in a higher education setting
  • Experience and knowledge of Undergraduate Medical Education regulations and requirements
  • Strong data analytic skills
