JOB DESCRIPTION
Under direction of the Director of Business Information Governance, performs a variety of tasks necessary to maintain the flow and function of compliance operations in the areas of: Engagement Letters, Conflict Waivers, Outside Counsel Guidelines, and Restricted Securities. This position will also work closely with the General Counsel Office and Loss Prevention Partner at the firm.
ESSENTIAL DUTIES
  • Monitoring & Fulfill tasks in Compliance mailboxes.
  • Administer all workflow activities related to Outside Counsel Guidelines(OCG) intake
  • Oversee Engagement letter intake process and administer such documents thereafter.
  • Maintain and develop a repository system for all compliance related material (i.e. OCG, EGL, Waivers, etc.)
  • Work closely with Loss Prevention, General Counsel, Partners, Business Development RFP Coordinators, Conflicts and Records staff, and Legal Administrative Assistants
  • Maintenance of Restricted Securities database, research to confirm stock tickers, entry into database.
  • Follow established process necessary to produce and distribute Annual Records Management Awareness video firm wide.
  • Follow established process necessary to produce and distribute Annual Insider Trading and Firm Policies Acknowledgement video firm wide.
  • Assist with review and analysis for Compliance audits.
  • Participate in all Compliance related process and workflow improvements.
  • Identify and share best control practices across process areas.
  • Participate in key meetings for the Business Information Governance Group
  • Perform other departmental duties as required by Management.
  • Build, maintain, and deliver a professional customer service attitude and relationship with all internal and external customers.

  • Ability to locate information in Aderant and NBI.
  • Experience with Microsoft Office Tools (e.g., Word, Excel, PowerPoint).
  • Self-sufficient, Analytical, Flexible, Reliable, Team player.
EDUCATION AND EXPERIENCE
  • Ability to follow procedures specific to the area of assignment as would be acquired during four years of high school.
  • Previous legal secretarial experience of 3 or more years desired.
  • Associate or bachelor's degree is not required but preferred.
