About the Opportunity:
Accounts Receivable Accountant | $60-70k
David Zwirner is looking for a motivated and proactive Accounts Receivable (AR) Accountant to join the gallery's dynamic finance team in New York. Sitting within the finance department and reporting to the Finance Manager, this role will focus heavily on providing excellent service to the gallery's sales team, reviewing sales orders, preparing invoices, responding to sales-related queries, and taking a proactive approach in meeting the AR needs of the gallery.
The successful candidate will be organized, detail oriented, and a solution-focused problem solver. They will be comfortable dealing with internal customers (providing training and guidance where needed), managing incoming requests in a methodical manner and balancing competing priorities in an often fast-paced environment. Other duties will include general AR finance support and accounting duties.
The sales / finance support role is a key function of the finance department, and this role will offer great exposure to the fascinating world of contemporary art and the exciting nuances of gallery sales. The AR Accountant will have a pivotal role in balancing the needs of the sales team with the control and reporting requirements of the finance department, all while ensuring the smooth running of the end-to-end invoicing and accounts receivable processes.
What you'll do:
AR and sales support:
  • Take a leading role in the sales / finance support function and act as first point of contact for the sales team on sales order, invoicing, and client payment queries.
  • Manage the incoming sales orders requests, review sales orders, and communicate proactively with the sales team to ensure the efficient operation of client invoicing.
  • Convert sales orders to sales invoices.
  • Provide support on customer due diligence regulatory checks for the gallery's European sales transactions.
  • Provide training to sales assistants on all aspects of the end-to-end sales invoicing process at the gallery.
  • Field questions on sales tax and liaise accordingly with the gallery's Tax and Compliance Manager and foreign tax experts.
  • Work proactively with the operations and legal teams to manage and approve any special invoicing or payment terms for transactions.
  • Track incoming payments, update the sales database, notify relevant parties once client payments are received and respond to queries around receipts.
  • Assist with posting incoming receipts to the accounting software.
  • Assist with AR ledger management and reconciliations.
  • Manage client payments via credit card and cheque.
  • Assisting in the preparation of financial reports for the sales team.
  • Track aged receivables and liaise with the sales team to encourage collections.
What we would like you to have:
  • Bachelor's degree in accounting or related field
  • A minimum of five years' experience in accounting, preferably in an arts or related field
  • Excellent organizational skills and attention to detail
  • Ability to work proactively and autonomously with an understanding of how to prioritize time-sensitive and competing tasks.
  • Great communication skills and a desire to offer excellent service to the finance department's internal customers.
