Location: Hybrid with requirement to be on site as needed

Summary of Job

Spirit Rock offers a variety of non-residential programs online. Program formats include long and short duration retreats, benefits, class series, drop-in classes, training programs, and other events. The Online Event Coordinators are responsible for the production and operation of online events and retreats, including supporting and partnering with the teachers, troubleshooting issues, and offering sensitive, Dharma-focused hospitality to the participants.

Specific Responsibilities

Pre-Production Planning

  • Manage the pre-production phase of each assigned online retreat or event, according to the Standard Operating Procedures (SOPs).
  • Coordinate retreat/event details with teacher/teaching team, Marketing, Registration, AV, IT, and other team members as needed.
  • For hybrid events, coordinate with Campus Ops team members to ensure appropriate live broadcast feeds and interactions are available.
  • Support participants and teachers in using our live event technologies in order to make the most of the event.
  • Verify the accuracy of the program details and meeting links, checking for grammatical and/or content errors on the website, communications with participants, and other promotional materials.
  • Ensure that any necessary internal documents are created, complete, and accessible to all appropriate team members.
  • Document the entire production process, including special issues and teacher requests, through to the post-production debriefing with the Programs team.
  • Prior to all live events, verify the event platform is configured correctly and the website attendance pages and links have all been stress checked.

Production Management

  • Assist the Teacher(s) in creating a welcoming and supportive online container, according to the Standard Operating Procedures (SOPs) and conducive to teaching the Dharma.
  • Develop and present Spirit Rock orientation, announcements, and ongoing updates, when applicable and requested by Teacher(s).
  • Act as the liaison with the coordinating Teacher, their Teaching Team, and any technology provided by Spirit Rock.
  • Monitor, support, and respond to all participants during the event.
  • Manage the online space/virtual hall: set up captioning or transcription; spotlight or pin the speaker(s); control participant access to audio, video, and chat; and prepare other tools per teacher requests (i.e., screenshares, breakout rooms, polls, etc.).
  • Record Dharma talks and meditation instructions per teacher requests.
  • Report issues or request support of the AV and IT staff.
  • For hybrid events, report issues with the online experience immediately to on-land AV staff.
  • Record live attendance, collect and maintain additional resources to add to the Resource Guide, and resolve participant issues via email or chat.

Post-Production Management

  • Debrief events with other Coordinators and Manager, and with Teacher(s) when appropriate.
  • Report feedback details to various departments.
  • Prepare and post the final audio or video recordings and other resources for participant access.

Required Qualifications

  • Bachelor’s Degree or equivalent combination of education and experience.
  • Strong knowledge of core Buddhist teachings and experience in retreat/meditation practice.
  • Strong understanding of and commitment to DEI principles and practices.
  • Excellent interpersonal and communication skills (written and verbal). Ability to communicate effectively with Spirit Rock stakeholders including teachers.
  • Excellent organizational and problem-solving skills.
  • Schedule flexibility is a critical component of this role, as many events are produced on weekends and evenings.
  • Previous event hosting experience is required, especially in an online (Zoom or similar) environment.
  • Experience with Google Suite and Microsoft Office required.
  • This position requires an adequate home office set up and a dependable, high-quality internet connection. Spirit Rock can offer some monetary assistance for home setup in addition to a monthly internet allowance.

Preferred Qualifications

  • Experience with Asana, Retreat Booking Guru, Adobe Acrobat, Slack, or related systems.
  • An understanding of learning management systems (LMS) and e-learning strategies.
  • Experience with Vimeo video management and editing, and Livestream Studio.
  • Experience with remote access to computer equipment and software (using Splashtop or similar).
  • Familiarity with diverse business functions such as public relations and marketing is highly desirable.
