POSITION DESCRIPTION & OVERVIEW
Title: Program Accounting Specialist
Reporting To: Associate Controller
Schedule: Mon-Fri, 8am-4pm, Daytime Flexible
Compensation: $30 - $35/hr (DOQ)
Job Classification: Salaried, Non-exempt, Full-time, 40 Hours/Week
Union Representation: This position is not a union represented position
The Program Accounting Specialist will report directly to the Associate Controller and perform routine accounting tasks supporting the Rep Payee program to include processing some receipts and accounts payable while providing other support, as needed, to the rest of the accounting department.
PRIMARY DUTIES AND EXPECTATIONS
- Completes payments and controls expenses by receiving, processing, verifying and reconciling invoices
- Reconciles processed work by verifying entries and comparing system reports to balances
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports, recording entries
- Pays vendor by monitoring discount opportunities, verifying federal id numbers, scheduling, and preparing checks and resolving purchase orders, contracts, invoices, or payments discrepancies and documentation
- Ensures credit is received for outstanding memos
- Maintains accounting ledgers by verifying and posting account transactions for payables
- Verifies vendor accounts by reconciling monthly statements and related transactions
- Maintains historical records by scanning and filing documents
- Supports management of key vendors relationships
- Ensures all invoices are free from sales tax and ensures vendors have appropriate documentation for sales tax exemptions
- Protects organization's value by keeping information confidential
- Updates job knowledge by participating in education opportunities
- Maintain A/P filing systems
- Ensure that Program checks are properly documented and approved in accordance with established internal control procedures, including verifying that client balances are available and approved by Rep Payee Program staff supporting the payment to be made
- Reviews and approves debit card load requests and processes loads with the bank
- Enters positive pay for checks and ACH to the bank; approves void check requests
- Deposits and records incoming checks and ACH transactions in coordination with the Receipts Accountant
- Other duties as assigned
REQUIRED QUALIFICATIONS
- Two-year degree in accounting required
- 3-5 years in Accounts Payable experience, preferably in nonprint sector
- Some payroll experiences a plus
- Strong communication skills
- Superb attention to detail
- Ability to prioritize tasks, work independently and meet deadlines
- Strong organizational skills and attention to detail
- Proficient using accounting software (Sage Intacct a plus), Excel and MS Office
- Ability to maintain confidentiality of sensitive materials and information

PREFERRED QUALIFICATIONS
- Bachelor's Degree in relevant field
- Knowledge of, or experience with Sage Intacct
- Experience working in a 'fiduciary-like' role
