Office Assistant
The Office Administrative Assistant is responsible for providing comprehensive administrative support to the office and its staff. This role involves a wide range of tasks, including managing calendars, coordinating meetings, handling travel arrangements, and providing general office support. The ideal candidate will be organized, detail-oriented, and have excellent communication skills. This is a Contact position located downtown Chicago.
Responsibilities:
  • Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
  • Coordinate with internal and external stakeholders to ensure efficient scheduling.
  • Prepare meeting materials, including agendas, presentations, and minutes.
  • Coordinate meeting logistics, such as room reservations and catering.
  • Follow up on action items from meetings.
  • Book travel arrangements, including flights, hotels, and transportation.
  • Prepare travel itineraries and expense reports.
  • Handle incoming and outgoing mail and correspondence.
  • Answer and screen phone calls.
  • Maintain office files and records.
  • Assist with office projects and initiatives.
  • Enter data into various databases and spreadsheets.
  • Maintain data integrity and ensure accuracy.
  • Greet visitors and answer phone calls.
  • Direct callers to appropriate staff members.
Qualifications:
  • High school diploma or equivalent.
  • Minimum (number) years of experience in an administrative role.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.

  • Monday-Friday
  • Pay is $22-$27 an hour, depending on experience
