This position currently reports to Principal Counsel, Litigation.

Responsibilities:

You would be responsible for the day-to-day workings of the leaders you support. Our executive secretaries offer solution-driven legal support to the Walt Disney World Litigation Team. It goes without saying that there will be expense reports, travel planning, hundreds of phone messages, and endless calendar jockeying, but this job is very much about people. The relationships you form with the executives and paralegals you support are absolutely critical. In addition to understanding your team's litigation docket and the business's needs inside and out, you'll also need knowledge of the leadership and workings of Walt Disney Parks and Resorts and related departments. As the "face" of your executives within The Walt Disney Company, your professionalism, loyalty, and attitude are a reflection of the office, and as such, are a key component to its success. Every day as an Executive Support Professional is different!

On any given day you might:
  1. Interface directly with senior executives and their support teams as well as with other companies, law firms, and government agencies - your ability to work well with people on all levels is a very important part of your job;
  2. Review your leader's schedule to build-in time for things like thinking and traveling to their next meeting;
  3. Understand the day's priorities so you can be strategic about how you direct phone calls, schedule conference rooms, meetings, and video chats all while being at the ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles;
  4. Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company;
  5. Draft and respond to correspondence on behalf of your leaders;
  6. Edit large, complex legal documents with multiple changes - including complex formatting in MS applications;
  7. Maintain accurate and organized files for the team; including use of scanning equipment, an electronic filing system (NetDocuments), and preparation and maintenance of document binders;
  8. Maintain accurate and organized databases on SharePoint;
  9. Produce and maintain expense reports;
  10. Track the status of matters, deadlines, and workload allocation;
  11. Create and maintain Excel spreadsheets, PowerPoint presentations, and other presentations using MS Office Suite;

Basic Qualifications:
  • At least 5 years supporting a Partner in a law firm or a corporate Vice President in a law firm or corporate legal department;
  • Passion for working on a litigation team in a law firm or corporate legal department;
  • Sharp written and verbal communication skills, including a love of the Oxford comma, flawless grammar, and a rich vocabulary;
  • Ability to edit large complex legal documents;
  • Proven ability to make independent decisions in the handling of sensitive and confidential information, while exercising good judgment and discretion in handling priority issues when they arise;
  • Desire to immerse yourself fully and learn all aspects of your executive's business;
  • Ability to multi-task and prioritize deadlines/deliverables;
  • Strong proficiency with all types of computers, phones, and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, and working in a Windows environment;
  • A calm head and steady hand to deal with the unexpected;
  • "EQ" skills to build bridges, forge alliances, and encourage people to want to help you;
  • Complete reliability handling confidential, often highly sensitive information;
  • Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked, and do your best to make them look good at all times;
  • Some flexibility in your schedule - we value work/life balance, but in a pinch, a bit more time is needed;
  • Very strong organizational skills and extreme attention to detail;
  • A highly professional demeanor, positive outlook, and a can-do attitude.


Additional Qualifications:
  • SAP/Disney Portal HUB experience.
  • Strong general computer skills.
  • Knowledge of NetDocuments file management system.
  • Great familiarity with Walt Disney World as a guest and possibly as a cast member.
  • Bachelor's or Associate's Degree preferred.


Education:
  • High School Diploma Required.
