Operations Coordinator

POSITION SUMMARY

The Missouri Humanities Operations Coordinator (OC) is a trusted self-starter and professional team contributor who is responsible to work in partnership with the Executive Director to carry out the mission and strategic advancement of Missouri Humanities. The OC will be involved in confidential and high-impact projects that require an acute attention to detail, the ability to multi-task, proactive thinking and execution, and a consistent demonstration of a high level of trust. Under the supervision of the Executive Director and the Cultural Community Development Director the OC provides general bookkeeping, human resources, and operations support for the organization.


All Missouri Humanities team members must be able to adapt to a continually evolving environment and thrive in an autonomous and deadline-oriented workplace.


Hourly Range: $ 17.80 to $22.60

FLSA Status:  Non-exempt, Full-time

Reports to:  Executive Director

Working Conditions : In-Person, Kansas City Regional Office

Supervisory Responsibilities:  None

Duties & Responsibilities


Bookkeeping and HR Support

• Liaises with MH’s accounting vendor(s) to maintain strong internal controls, bookkeeping, and adherence to Generally Accepted Accounting Principles (GAAP)

• Tracks and maintains expenses in bill.com

• Monitors staff credit card expenditures

• Assist in the preparation of monthly finance board reports. Serve as the staff liaison to the Finance Committee

• Provides recruitment and onboarding support for HR matters, including payroll processing

• Assists in the annual audit

• Interfaces, tracks, and manages relationships with multiple MH vendors and service providers

• Maintains timesheets, time off, and HR documents. Process bi-monthly payroll and post transactions

• Maintains Timesheets and Payroll for AmeriCorps Members

• Monitors grant expenses and invoices for reimbursement.

• Monitors staff professional development. Support staff with annual HR evaluations and surveys

• Attends or participates in training as needed or required

• Organizes staff meetings and workshops as needed

• Works with the Director of Development to track and acknowledge donations.

• Assists the CFO as needed


MH Operations

• Monitors and manage lease agreements

• Monitors and purchase company equipment and supplies

• Coordinates with MH IT firm. Monitor and order electronic equipment when needed

• Assists the Executive Director as needed

• Work with the Director of Development and Marketing Coordinator to maintain Constant Contact lists, the CRM, databases, and other subscription tools


Required Skills & Abilities

• Associate's degree or equivalent work experience in finance or related areas

• Comfortable in a high-performing, fast-paced and quickly growing organization demonstrated ability to achieve high-performance goals, meet deadlines and adapt to changing circumstances

• Well-versed in Microsoft Office applications with an additional emphasis in Excel

• Bookkeeping/accounting experience, QuickBooks or similar financial software experience is a plus

• Proficient with Google Drive and other collaboration workspaces

• Proficient in Bill.com, Dext, Paylocity, grants.gov, OnCorps, and EGrants

• Ability to manage confidential information with tact and discretion

• Ability to establish and maintain collaborative relationships with vendors and stakeholders

• Proven history of self-directed work to improve processes and procedures and excellent understanding of nonprofit processes and operations

• Must possess executive maturity, sound judgment, integrity, and a professional appearance


WORK CONDITIONS

• Work schedule is typically M-F from 9 AM-5 PM. This is a full-time, non-exempt, 40 hour a week position based in the Kansas City Office in the Carriage House of the Kansas City Museum at 3218 Gladstone Blvd. Kansas City, MO 64123 

• Prolonged periods of sitting and working on a computer

• Must be able to lift 15 pounds at times
