Job Summary
Under the direction of the Budget Manager, provide high-level financial and analytical support to Graduate Studies at a Deans' Office level. Using the campus financial system Aggie Enterprise, responsible for the fiscal integrity and financial aspects for the entire department while ensuring compliance with UC, State and Federal polices, regulations and contracts (overall administrative budget of approximately $11 million, derived from approximately 24 funding sources and allocated among approximately 250 different chart strings). Support the Budget Manager and Business Administration team to enhance or improve daily business processes and procedures.

Minimum Qualifications

- Bachelor's degree in related area and / or equivalent experience / training
- Demonstrated ability to gather reasonably retrievable information using spreadsheets and database software for moderately complex financial analysis, fiscal management, and financial reports while using organizational skills to multi-task in a high-volume environment.
- Demonstrated experience to maintain confidentiality of personnel or other sensitive issues/matters and exercise independent judgment and discretion in dealing with controversial or potentially sensitive topics, and to work with constituents from diverse cultural backgrounds and perspectives.
- Knowledge of University Policies and Procedures in purchasing, accounts payable and receivables, expense transfers, ledger reconciliation, error corrections and travel & entertainment policies and procedures.
- Ability to follow through on all actions, excellent service orientation, critical thinking skills and attention to detail.
- Oral and written communication skills to prepare clear, accurate correspondence, policies and procedures, and informational documents to communicate clearly, effectively, and professionally in person, by phone and by electronic mail using interpersonal skills at all levels within the unit.
Preferred Qualifications
- Experience in the nature and operation of major research university with a public higher education setting.
- Experience using UC Davis campus systems or equivalent (KFS, FIS Decision Support, Aggie Enterprise, Aggie Expense, CashNet, COGNOS Reporting, BANNER, PRM, AggieShip, AggieLogistics, BOX, Slack, Zoom).
- Experience coordinating and completing projects requiring interactions with many individuals, working with minimal supervision and taking initiative to follow up on projects.
- Ability to learn new systems and adapt to change and changing priorities in a high-volume, fast paced environment.

Work Environment
- First 30 days in office and then hybrid schedule optional as approved by supervisor. Division flexible/hybrid schedule available as approved by the Vice Provost/Dean. Work occasional overtime including evenings, nights, and weekends. May be required to work in an open and/or shared office environment with multiple interruptions. Limited vacation during busy periods, such as fiscal closing and during grant/project deadlines.
