Growing venture fund focused on early-stage investments is looking for a Head of Operations/Chief of Staff to support their Founder. Incredible opportunity to provide strategic day-to-day support to the Founder to align priorities while building and implementing systems to support the firm’s growth. Manage communications with high-level stakeholders, create practices around hiring & onboarding, establish policies for third-party vendors and partners, and collaborate with finance and legal contractors. Someone who is a strong operator with excellent communication and problem-solving skills. Previous experience in venture or similar environment is required! This is ideally a hybrid role based in North Carolina. Also open to NYC-based candidates willing to travel to Charlotte roughly once/month. 120-140K+ DOE + health benefits, 401k, and flexible PTO
Responsibilities
- Provide daily support to the Founder by managing the calendar to best align priorities, preparing and providing support for meetings, and booking travel arrangements.
- Help manage communications and relationships on behalf of the Founder with high-level stakeholders.
- Build HR & Culture foundational practices and policies to support the firm.
- Oversee the recruitment process by sourcing, hiring, and onboarding employees - both full-time, contractors and consultants.
- Ensure the team is knowledgeable and acting on best practices and standards for employee engagement and management while ensuring the organization complies with its practices and principles.
- Manage expectations, contracts, and payments with external stakeholders.
- Establish principles with third-party vendors and partners and implement SOPs, payment processes, and partnership expectations.
- Partner with an outsourced bookkeeping firm on accounts payable and bookkeeping.
- Develop end-to-end process and structure for critical workstreams. Identify essential processes and systems within the firm while assessing areas of improvement. From document naming and document filing to internal meeting planning.
- Define improved processes, organize, familiarize, and maintain alignment with those processes as the team evolves and grows.
- Assist in identifying more cost-efficient ways to do business, setting and executing department and company-wide budgets, and forecasting efforts.
- 5+ years of experience in an Operational in a fast-paced Venture environment.
- Positive and proactive attitude. Willing to do whatever it takes to get the job done.
- Self-starter. You are able to run on your own, identify opportunities, and prioritize without guidance.
- High IQ and EQ are critical. A humble, off-the-charts performer.
- Experience working with software solutions for efficient data management and contact management.
- Experience managing a CRM and/or large databases, with familiarity working in project management tools like Notion, Asana, etc.
- Superb organizational skills with the ability to perfect processes.
- Technical abilities such as web technologies such as design and coding are a plus!
- Ability to quickly process and organize complex information.
- Excellent, creative problem-solver who can assess challenges and create solutions and systems that scale.
- Undergraduate degree + MBA or Master’s Degree is preferred.
