Job Summary:
With limited supervision, the Training Coordinator is responsible for coordination of clinical training events as well as orienting all new clinical hires to the mental health program. The Training Coordinator develops or updates, as needed, a training curriculum consistent with Counseling4Kids' needs ad LA County Department of Mental Health regulations to assist new employees in understanding their job duties-including but not limited to documentation and billing expectations, clinical practice standards, and use of the agency's Electronic Health Record System. This position is to provide clear and comprehensive standards of practice to employees upon hire, and to reinforce those standards through ongoing training and written guidelines. Maintains a database of all employee's training and oversees tracking of clinical training to meet professional, contractual, and regulatory standards.
Secondarily, this role will serve as the point-person for verification of EBP trainings and secures supporting documentation of completed trainings to submit to DMH for training reimbursement purposes. Inputs EBP training data into the NAPPA system as required and serves as the contact for DMH. Working closely with key employees and resources to conduct research, create policies and procedures, and develop trainings to promote clinical best practices-including but not limited to the areas of Cal-AIM, family therapy, trauma-informed care, risk management, safety planning, and care coordination. Engages in a high level of collaboration with employees-both within the Compliance and Quality Assurance Department and across the entire agency.
ESSENTIAL JOB RESPONSIBILITIES:
- In collaboration with Management, determine the existing state of skills in the organization and the skills it needs to achieve its goals.
- Manage and schedule appropriate training sessions with employees.
- Oversee and direct training sessions, workshops, individual & group training sessions.
- Plan and implement an effective training curriculum as needed for clinical topics and various other topics identified by management.
- Prepare training materials such as handouts, module summaries, videos, and presentations.
- Delivers department wide training using various forms and formats including group discussion, lecture, simulations, and videos.
- Train and guide new employees by collaborating with management for the onboarding process.
- Provides new hire orientations as an essential part of the onboarding processes and ensures training is effectively produced, assessed, and reinforced.
- Introduces new hires to each of the EBPs provided across the mental health program.
- Provides specialized training for employees with documentation and other job-based performance challenges.
- As per the QA Department Auditing Plan, may participate as needed in chart reviews to identify trends and training needs, including areas of needed enhancement of training materials.
- Conduct training evaluations (pre & post assessments) collecting feedback to assess effectiveness of training materials and success of knowledge transfer to participants.
- Observes and evaluates the effectiveness of trainees and analyzes training results, recommending revisions where appropriate to increase the effectiveness of departmental training programs.
- Coordinate and manage training budget in collaboration with Director of Quality Assurance.
- Develop monitoring systems to ensure that employees have adequately retained training content to ensure roll readiness.
- Maintains records of training and development activities, employee participation, attendance, results of tests and assessments, and retraining requirements generating reports as needed.
- Maintain and update online database, SharePoint, for training materials and referral resources.
- Continually evaluate effectiveness of training efforts via employee surveys and case record reviews and present findings in QIC and Supervisor meetings.
- Assesses training materials prepared by instructors.
- As per the QA Department Auditing Plan, participates in chart reviews to identify trends and training needs, including areas of needed enhancement of training materials.

- Provides periodic reports of employee's compliance with EBP training protocols and communicates findings to supervisors to ensure compliance.
- Reviews a sample of documentation for all new employees within 3 months of hire to ensure Medi-Cal and quality of care standards are being met.
- Works collaboratively as a member of the Compliance & Quality Assurance Department to ensure full compliance with Medi-Cal documentation, claiming, and service delivery requirements and clinical best practices.
- Works closely with Director of Compliance and Quality Assurance in learning about new regulations and changes in policies at the Federal, State, and County levels and will co-lead implementation efforts to sustain compliance.
- Facilitates coordination of credentialing and registration process for onboarding of new employees as rendering providers.
- Seeks guidance and remains knowledgeable of, and complies with, all applicable federal and state laws, as well as company policies that apply to assigned duties.
- Proven experience as a corporate trainer with excellent organizational and time management skills.
- Collaborate with Management to identify corporate training and individual needs based on assessments, evaluations, and analysis of various data elements.
- In collaboration with Management, determine the organization's current skillset and the skills needed to achieve its goals (gap analysis).
- Plan and implement an effective training curriculum using relevant research techniques.
- Confidence & Engagement using Strong Presentation skills and a thorough understanding of various learning styles.
- Phenomenal verbal and written communication skills with a high listening acuity.
- Maintains positive communication with all agency employees, clients, and visitors.
- Manage participant attendance records and other training records.
- Familiar with various training platforms and methods, willing to keep abreast of new techniques in corporate teaching.
- Proficient in MS Office (PowerPoint or Canva) e-learning software knowledge is an asset.
- Ability to organize complex data into clear information and create reports.
- Develop and manage Training Budgets.
- Ability to be flexible and work independently, manage classroom, and possess strong leadership skills.
- Maintain confidentiality of all pertinent client care information to protect clients' rights.
- Exercises good judgment in the performance of duties and responsibilities.
- Supports existing agency policies, principles, and mission.
- Minimum 2 years of experience as a Corporate Trainer
- Knowledge of Los Angeles County DMH and Medi-Cal procedures
- Knowledgeable about DMH and BBS standards and regulations, and Quality Improvement activities with ability to read, analyze and interpret manuals, bulletins, and policies issued by these and other relevant entities.
- Strong commitment to children and families, and willing to take the steps necessary to assure their well-being.
- License: A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
- Must have strong computer skills including knowledge and experience with Microsoft office, SharePoint, Teams, Word, and Excel.
- Able to engage in regular travel to both agency locations.
- Licensed in California as an LMFT, LCSW, or LPCC (Candidates with active BBS licensure will be will be considered for a salary differential)
- Minimum of 3 years of previous counseling experience with children, families and community mental health
- Experience providing training and/or shadowing in a clinical setting.
- Experience in developing and delivering clinical services training related to particular age groups or for specialized programs (e.g. children, adolescent, adult, and older adult, or Specialized Foster Care, or Forensic Programs).
- Ability to document in a clear and concise manner and in accordance with DMH and other program standards using the EXYM
- Experience in utilizing digital learning development and new Learning Management technologies, including experience in developing digital learning modules, such as online courses, tutorials, and training programs.
