Position Summary
This position is responsible for providing customer service, clerical, and bookkeeping support for the operations of the Municipal Court.

Position Description
Essential Job Duties

  • Prepares dockets for all assigned court cases; ensures all citations and accompanying paperwork are complete.
  • Attend and provides support in courtroom; provides required files and documents; records dispositions; coordinates interpretation service for defendants.
  • Prepares documents required to close-out all assigned cases; prepares related reports; verifies collection of fines and fees.
  • Processes driver and criminal histories; processes vehicle and tag reports.
  • Prepares orders for cases, including warrants, subpoenas, accusations, etc.
  • Calculates and receives fines and fees; records and issues receipts; balances cash drawer and prepares bank deposits.
  • Maintains court records in accordance with retention guidelines.
  • Processes incoming and outgoing mail, email, and faxed documents.
  • Posts warrants to GCIC/NCIC database.
  • Issues and withdraws license suspensions.
  • Imports citation database from Police Department and ensures accuracy.
  • Assists probation officer with pending diversion, adjudicated cases, warrants, etc.
  • Performs other related duties as assigned.

  • Knowledge of Municipal Court policies and procedures.
  • Knowledge of applicable recordkeeping requirements.
  • Knowledge of legal forms, documents, and terminology.
  • Knowledge of federal and state laws and of city ordinances.
  • Skill in the use of computers and job-related software programs.
  • Skill in establishing priorities and organizing work.
  • Skill in problem solving.
  • Skill in dealing with the public.
  • Skill in oral and written communication.

Supervisory Controls
The Municipal Court Clerk assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines
Guidelines include state laws, local ordinances, court rules and regulations, and judges' orders. These guidelines are generally clear and specific but may require some interpretation in application.

Complexity/scope of work

  • The work consists of related clerical and customer service duties. Frequent interruptions contribute to the complexity of the position.
  • The purpose of this position is to provide support for the day-to-day operations of the court office. Successful performance contributes to the efficiency and effectiveness of court operations.

Contacts

  • Contacts are typically with co‑workers, other city employees, law enforcement personnel, attorneys, judges, detention officers, probation officers, the Judge and Solicitor, and members of the general public.
  • Contacts are typically to exchange information, resolve problems, and provide services.

Physical demands/work environment

  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, bending, crouching, or stooping. The employee occasionally lifts light and heavy objects and distinguishes between shades of color.
  • The work is typically performed in an office.

Supervisory and Management Responsibility
None.

Minimum Qualifications

  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of or ability to readily obtain and maintain GCIC/NCIC certification.
