Job Summary
The Program Coordinator I shall be responsible for:
- Working with training program leadership team to coordinate and provide administrative support for all aspects of the GME training program for the department/division. Preparing, maintaining and distributing educational materials and curriculum.
- Supporting the candidate selection process. Coordinating and scheduling interviews and follow-up. Acting as a resource for candidates, assisting as needed with travel arrangements.
- Coordinating all aspects of onboarding. Ensuring the timely input of documents related to licensing, visas, credentialing and moonlighting in accordance with regulatory requirements.
- Coordinating annual orientation programs including scheduling, speakers, conference rooms, trainings, and other new hire requirements including IDs, computer access and training.
- Collecting and maintaining required records and data for house staff, faculty, and alumni. Maintaining New Innovations GME database including duty hours, evaluations and personnel records in accordance with department/GME requirements. Interpreting and applying ACGME (Accreditation Council for Graduate Medical Education), other national accrediting agency and regulatory requirements, and hospital policies to support compliance.
- Coordinating, preparing and distributing materials for educational conferences, didactic sessions, and special events throughout the year. Coordinating evaluation and attendance tracking for events.
- Acting as a resource to house staff and as a liaison for the house staff/training program. Providing administrative support to house staff as directed by the program director. Informing house staff of policies, procedures and schedules. Working to diffuse conflicts by accommodating reasonable requests; escalating issues to manager as needed.
- Providing administrative support to the department as needed.
To qualify, you must have:
- Associate's degree required; Bachelor's degree preferred.
- 1 year of administration experience required. Healthcare administration experience strongly preferred.
- General proficiency with computerized office applications including email, word processing and spreadsheet applications is required; fluency with Microsoft Office applications is preferred.
- Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
- Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
- Excellent organizational and planning skills with strong attention to details.
- Ability to understand, interpret and apply applicable regulatory requirements and hospital policies to ensure programmatic compliance with graduate medical education program training requirements.
