Summary:
The Emergency Assistance team empowers families in housing crisis to become independent and self-sufficient by providing emergency shelter, connecting families to community services, facilitating community integration and post shelter stability. The Family Housing Coordinator position will be assigned to specific scope(s) as assigned related to this journey (In Shelter Case Management, Compliance, Office Coordination, Health and Wellbeing, Life Skills, Housing Search and Secure, Housing Stabilization, Special Populations). In addition to providing direct support to members of the team, the coordinator is responsible for monitoring client outcomes and ensuring the quality, timeliness and documentation of those services and completion of required reports. The Coordinator engages in regular assessments of the community based on the area of focus and develops and strengthens relationships with (1) human service agencies and other essential community partners, (2) state and federal funders.
Essential Responsibilities:
Lead Direct Services Team
• Responsible for providing effective leadership to Family Housing Navigators and delivering quality services to the individuals served.
• Responsible for providing effective leadership to volunteers and interns as needed.
• Ensure all Family Housing Navigators, volunteers and interns receive support on boarding and training as needed.
• Provide coaching, mentoring and development to Family Housing Navigators, volunteers, and interns.
• Interview, hire, orient, supervise and evaluate Family Housing Navigators
• Assist with orienting, supervising, and evaluating volunteers and interns.
• Perform a variety of complicated tasks that require decision-making, judgment, and confidentiality.
• Maintain current knowledge of local, state, national and federal regulations that govern the housing continuum of care service areas.
Partner Relations and Coordination
• Assist with preparing local community partners, service providers, and key stakeholders, etc. for the welcoming of new populations in housing crisis.
• Serve as primary contact for human service agencies and social service organizations to facilitate access to services that promote the Social Determinants of Health.
• Depending on role, serve as secondary contact for local landlords: assist with securing housing for incoming clients and addressing landlord and/or client concerns as they arise.
• Oversee maintenance of relationships with social service organizations' contacts through frequent communication and coordination.
• Attend and participate in service provider/community partner meetings.
• Network and develop relationships with potential providers.
• Provide and/or promote educational offerings to social service organizations regarding culturally and linguistically appropriate services.
• Promote the program through community networking and providing presentations; develop and maintain relationships with key stakeholders and partners.
Client Services
• Follow EHOLC standards regarding cases assigned.
• Ensure provision of all mandatory and core client services within the required time according to EOHLC Scope of Services: track completion of services, follow up with direct services team as needed.
• Serve as primary contact for clients with concerns.
• Ensure that clients have an Individual Plan developed and that case management team monitors client progress toward goals.
• Provide information and referrals to external programs and services.
• Coach and empower families served to work toward self-sufficiency and to integrate into the community; adhering to timeframe requirements of EOHLC Scope of Services.
• Support teams addressing other scopes of services including Workforce and Adult Education as needed to support best practices in client-centered services.
• Ensure payment required client expenses as is related to scope of service (rent, utilities, medical bills, etc.).
• Provide back up for colleagues as needed including, but not limited to direct casework such as apartment set-ups, providing transportation and interpretation, helping clients access benefits, program and services. Monitor and track client progress.
• Provide exceptional customer service both verbally and face-to-face.
• Ensure clients are treated with respect, dignity, and respect for privacy.
Record Keeping, Reporting, Finances and Budgeting
• Serve as point of contact for relevant funding agencies in partnership with program manager.
• Report to funders on individual client progress and overall program outcomes. Ensure quality of internal Ascentria records associated with clients and services on an ongoing basis as well as monthly reviews.
• Complete, submit and maintain documentation in accordance with contractual standards and in a timely manner.
• Maintain information across multiple client databases, including financial records, outreach notes, contacts and documents held for safekeeping on behalf of clients.
• Complete and file progress and other administrative reports according to program procedures and deadline.
• Support oversight of the tracking and distribution of client funds in accordance with contractual obligations.
• Manage program related expenditures monthly.
• Review and approve staff expenditures for accuracy and compliance with contract regulations and Ascentria policies.
• Approve employees' time and manage staff overtime to budgeted costs.
• Research funding opportunities to expand or enhance programs.
• Assist program manager/director in annual or periodic budget and proposal preparation.
• Represent team during monitoring by funders.
• Perform other duties as assigned to help meet the goals of the program or the agency.
Qualifications:
• Bachelor's Degree in a related field preferred. Significant related experience may be considered in lieu of a degree.
• Minimum of two (2) years of related experience required.
• Minimum of one (1) year supervisory experience preferred.
• Ability to speak a language our clients speak is preferred (ex. Haitian Creole, Spanish, Portuguese).
• Knowledge of local, state, national and federal regulations that govern Housing Continuum of Care service areas.
• Excellent verbal and written communication skills and ability to handle situations with diplomacy and tact. Comfortable speaking to groups.
• Computer skills required including experience using Microsoft Word, Excel, and PowerPoint; data entry skills and budget tracking.
• Ability to effectively lead staff, volunteers and interns, and advocate for process improvement as needed.
• Ability to work sensitively and effectively in a multi-cultural/multi-lingual environment.
• Ability to work independently and as part of a team.
• Ability to work in a fast-paced environment and respond to rapidly changing priorities throughout the day.
• Ability to be flexible, adapt, and contribute to ongoing organizational transformation.
• Excellent organizational and multi-tasking skills.
• Valid Driver's License, positive driving record and proof of automobile insurance are required to transport clients.
