Position Overview

The Office Assistant will support the office team based in Fort Lauderdale and contribute to the overall functionality of the office. The individual will have a variety of responsibilities related to office administration and will play a vital role as the first point of contact for any visitors to the office.


Office Administration

  • Coordinating parking and greeting guests (offering coffee/beverages/etc.)
  • Requesting building services (repairs, lights, HVAC, cleaning, etc.)
  • Reserving conference rooms and managing conference room calendars
  • Coordinating in-office meetings
  • Ordering office and kitchen supplies
  • Sorting and sending USPS mail and other deliveries
  • Performing light cleaning duties (conference rooms and kitchen)


Executive Administration

  • Assisting senior team members with scheduling and meeting coordination
  • Helping with expense report submission for senior team members
  • Supporting new hire onboarding


Other

  • Data entry in Salesforce or other systems
  • Updating files
  • Coordinating with the IT service provider


Desired Skills & Experience:

  • Minimum of 2-3+ years of experience as an Office Assistant
  • High degree of professionalism, initiative, and responsibility
  • Strong customer service orientation
  • High proficiency with MS Office Suite, Outlook, and Excel
  • Ability to multi-task and support multiple projects
  • Excellent interpersonal, oral, and written communication skills
  • Strong attention to detail
  • Positive, can-do attitude, and strong work ethic
