Description:

Ss. Peter and Lambert Parish is a multi-cultural Catholic community. Located in Skokie, IL, the parish consists of two church sites.

Position Summary

The Operations Director (OD) provides strategic and operational support to the Pastor to ensure the stewardship of the human, financial, and physical resources of the Parish, in accordance with Archdiocesan policies and guidelines.

The OD has primary responsibility for finance, operations, facilities, human resources and project management with direct leadership of finance, administration and maintenance.

Responsibilities:

• Financial Management

  • Prepare, evaluate and communicate Parish (church and school) budgets, annual reports, profit & loss, balance sheet, accounts receivable, accounts payable, and general ledger.
  • Develop monthly variance reports and forecasts. Review all reports with Pastor and Principal as applicable.
  • Ensure proper internal controls are in place and followed.
  • Serve as Parish representative to banks. Manage accounts, identify and resolve discrepancies.
  • May perform bookkeeping functions including but not limited to, payables and receivables and all other Parish (church and school) revenue and expenses.
  • Oversee purchasing, contract negotiation and vendor relationships.
  • Act as staff liaison to Parish Finance Council; support School Board as applicable and necessary.
  • Coordinate capital campaign pledges and collections, fund raising events, pledge drives, Parish offertory collections and stewardship.
  • Utilize Archdiocesan best practices.
  • Confirm that all federal, state and local taxes are paid in accordance with federal, state and local regulations.

• School Support

  • Develop and manage school economic model to assess the financial impact of initiatives (e.g., enrollment vs. tuition price vs. discounts vs. costs).
  • Support the principal in developing assumptions for annual budget.
  • Forecast school finances during the year.
  • Support and assist principal and pastor in all school financial management matters.

• Buildings Management

  • Manage major repairs, renovations and capital projects in accordance with Archdiocesan policies.
  • Act as liaison to Archdiocesan administrative agencies.
  • Manage custodial maintenance functions.
  • Act as resource for the Building and Grounds Committee.
  • Responsible for Parish security, leasing, rental, use of Parish facilities.

• Human Resources Management

  • Implement Archdiocesan Human Resource policies. Develop specific job descriptions and manage Open Enrollment.
  • Manage payment of salaries and benefits.
  • Oversee management of Parish office (as applicable).
  • Manage Parish office staff and employee performance, including completion of performance management practices.
  • Evaluate support staff through yearly performance reviews.
  • Oversee implementation of guidelines and policies for volunteers.

• Communication/Information Technology

  • Direct or oversee publication of relevant information presented in Sunday bulletin.
  • Oversee maintenance of Parish census and database.
  • Maintain Information Technology including but not limited to computers, Internet, telephone, copiers, etc.
  • Oversee management of Parish operational and financial records.

• Project/Team Management

  • Manage Parish project plans: Identify needs and required action; Track and communicate status to relevant stakeholders; Identify challenges to plan progress and completion and adjust as necessary.
  • Organize and facilitate weekly staff meetings to ensure all necessary information is communicated.
  • Bring ideas, plans and best practices to Parish from Vicariate and Archdiocesan meetings.

• Other responsibilities as assigned.

Requirements:

  • Undergraduate Degree in Business, Accounting, Finance, or related discipline, or equivalent professional experience.
  • Three years’ experience in Accounting, Finance, or related business practices.
  • Experience with a not-for-profit organization or in Church management is a plus.
  • Demonstrate understanding, respect and support of the Catholic Church teaching, mission and values.
  • Demonstrate leadership, interpersonal, communication and organizational skills, initiative and a strong desire to achieve results.
  • Knowledge of safety and security practices.
  • Experience in Human Resources practices, including people leadership, interviewing and selection, policy application, and employment practices law.
  • Ability to work in a team environment and has a “Service Mindset” when working with others.
  • Experience in change management and continuous improvement processes is a strong plus.
  • Experience and competence in standard management software tools including Microsoft Office Suite.
  • Experience utilizing QuickBooks On-line accounting preferred.
  • Can be entrusted with highly confidential information.
  • Possess a valid Illinois Driver’s License and can travel to other Archdiocesan locations as needed.
