Position Summary:
Greets and receives staff members, clients, customers, vendors, etc. in a professional manner. Receives calls, answers questions when appropriate and refers calls to the appropriate resource. Responsible for maintaining neat, clean and orderly reception and kitchen areas.
Essential Functions and Responsibilities:
1. Answers all telephone calls in a prompt, courteous manner. Addresses concerns of the caller, transfers phone calls, or takes messages as needed.
2. Greets staff members, clients, customers, vendors, etc. and announces their arrival to the appropriate staff.
3. Maintains a neat and orderly reception area.
4. Processes, sorts, and distributes mail.
5. Oversees and maintains scheduling of conference rooms.
6. Provides backup to executive assistants and works on special projects under the direction of the executive assistants, as needed.
7. Prepares packages for mailing by UPS and Federal Express and receives/distributes mailings from UPS, Federal Express, and other express mail or courier services.
8. Provides general clerical assistance as needed.
9. Keeps kitchen stocked/items refrigerated and kitchen maintained in a clean and orderly fashion.
10. Orders office and kitchen supplies.
11. Maintains a directory for all corporate and subsidiary leadership.
12. Cleans up after meetings, including loading dishes into the dishwasher and placing leftover food items into the refrigerator.
13. Other duties as assigned or when necessary to maintain efficient operations of the department and the company as a whole.

  • 2+ Years of experience - Required
  • Comfortable with phone calls, greetings, processing, mailing, and cleaning - Required
  • High School diploma - Required
  • Open to Temp and Temp to perm applicants.
