The Atlantic Group is partnered with a prestigious investment firm in Boston that is looking for an experienced Executive Assistant to support the Head of the US Team, the Chief Investment Officer, and other senior leaders in our Boston office. This role involves managing schedules, coordinating meetings and travel, handling expense reports, and performing various administrative tasks.


Key Responsibilities:

  • Manage complex calendars, book conference rooms for meetings (in-person and virtual), answer phones, and set up conference and video calls.
  • Ensure executives’ Outlook calendars are up-to-date and on track, communicating any changes promptly.
  • Collaborate with the team to arrange meeting logistics, including room bookings and catering.
  • Coordinate all aspects of domestic and international travel, including transportation and accommodations.
  • Handle payment processing, track changes to meetings and itineraries, and prepare expense reports.
  • Ensure all travel and meeting logistics are efficiently managed.
  • Handle mail, emails, and confidential materials with discretion.
  • Address urgent matters as needed and manage conference registrations.
  • Manage incoming calls, relay messages, and assist with events and special projects.
  • Support document and presentation preparation using PowerPoint, Excel, and Word.


Qualifications:

  • Bachelor’s degree or equivalent experience required.
  • Minimum of 3 years’ experience supporting senior executives; 5-10 years preferred.
  • Strong organizational, communication, and multitasking skills.
  • Detail-oriented with high professionalism and discretion.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
