Position Overview:
The IT Procurement Analyst will provide high quality procurement support services, through supply chain management, inventory management, purchase reconciliation, and license/subscription renewal. They will work closely with the IT Support team to ensure the ongoing reliability of technology at Dutch Bros Coffee. This will require a thorough understanding of our IT processes, SLA's, and departmental goals to work with various departments across the organization.
Job Qualifications:
- Associate's degree in a related field, or 2 years additional experience, required
- Minimum of 1 year experience in an IT Procurement or related position, required
- General understanding of inventory management, asset management, licensing, purchasing, reconciliation, etc.

Provide procurement services to the IT department:
- Resolve complex invoice and goods receipt exception items
- Assist with the processing of telecom invoices so that they may be processed and paid promptly
- Identify opportunities for process improvement in IT procurement and billing.
- Work with the receiving department to facilitate the timely action of all goods receipts in ITSM
- Develop and maintain standards for inventory thresholds and schedules.
- Generate company Purchase Orders (POs) and manage each through purchase approval process
- Routinely and proactively update key stakeholders with status of procurement initiatives and client on-boarding exercises
- Conduct financial analysis ensuring optimal decision making for buying goods and services
- Participate in the negotiation and the review of vendor agreements
- Analyze and implement process improvements that streamline operations and raise the quality of procurement services
- Attends the weekly AP/IT collaboration meeting
- Maintain an adequate supply of routine supplies for the IT department and users.
- Process and follow through to completion on RMA's and ordering discrepancies
- Track, report, and coordinate receipt of purchased goods
- Work closely with our finance teams to reconcile purchasing monthly
- Work with vendors to automate reporting, alerts, reconciliation, and billing
- Work with our legal team and information security team to ensure vendors are compliant to our company policies and standards
- Process end of life equipment for e-cycle, e-shred or charitable donation
- Maintain inventory of IT assets at our corporate offices and retail shops
- Maintain, catalog, and renew systems' licenses and support contracts
- Pull reports on company assets and compliance of software installation processes, including but not limited to: MDM, antivirus, RMM, MDR, MFA, etc.
- Participate in the remediation of deficiencies regarding software compliance standards
- Prepare audit of inventory records across various IT systems
- Reconcile inventory reports while comparing inventory discrepancies between systems
- Identify improvement opportunities in workflows and systems to prevent future discrepancies
- Automate ITSM and inventory processes to improve consistency and reliability
- Utilize an enterprise asset management system to track software licenses, software renewals, asset lifecycle management, warranty repairs, and hardware management
- Compile and deliver open order, purchase history, vendor history reports to IT management on as needed basis
- Analyze purchasing data and generate monthly reporting
- Maintain accurate records required for renewals, maintenance agreements, purchase orders and software harvesting, and track software assets
- Work with finance to ensure that all new vendor requirements are fulfilled and in compliance
- Effectively and efficiently communicate with vendors and suppliers to resolve transaction issues and sustain productive relationships
- Provide analysis and reporting regarding supplier purchasing performance and purchase history to IT leadership
- Assist IT leadership in conducting quarterly business reviews with key suppliers
- Ensure vendor practices are in line with contractual terms and conditions
- Perform intercompany transfer process relating to general Purchase Order costs allocations
- Assist RFQ/RFI/RFP initiatives, analyze data to ensure optimal pricing
- Other duties as assigned
- In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions
- Must be able to collaborate in-person with occasional impromptu in-person meetings
- Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels
- Mobility : Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds
- Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.
- Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.
- Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.
- Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.
- Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.
