Position Overview

We are currently seeking a Sr. Sales Coordinator to join the Operations team. The Sr. Sales Coordinator will support the overall brokerage group with operational tasks and support the Life Sciences team with support needs.

This person must be especially well organized and flexible. The ability to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient, with an elevated level of professionalism and confidentiality is crucial to this role.

Key Responsibilities

  1. Provide full executive support to a brokerage team, representing them to the public through personal, telephone, and electronic communications.
  2. Responsible for full interaction with the team for all aspects of their business, including managing their day-to-day business, interaction with their clients, and interaction with their JLL colleagues.
  3. Email management including detailed follow-up.
  4. Prepare property marketing flyers, brochures, and email distributions.
  5. Constantly improve processes and procedures for all data.
  6. Manage & maintain listings on CoStar, LoopNet, and the JLL website.
  7. General duties such as printing, binding, scheduling meetings, greeting clients, conference room setup, office maintenance, and broker IT support.
  8. Prepare and edit correspondence, communications, presentations, and other documents.
  9. Prioritize and manage multiple projects simultaneously and follow through on issues promptly.
  10. Responsible for being the liaison to internal departments on behalf of executives, i.e., Research, Marketing, Finance, etc., for client requests.

Qualifications

Required:

  1. 2-4 years of administrative support experience supporting executive-level leaders.
  2. Proficiency in MS (Microsoft) Windows and Office (Word, Excel, PowerPoint, and Outlook).
  3. Excellent computer and typing skills.

Preferred:

  1. Experience with Adobe Creative Cloud (InDesign, Illustrator, Photoshop).
  2. An associate degree or higher.
  3. Problem solver and proactive thinker.
  4. Keen ability to connect the dots and anticipate the needs of the executive in advance.
  5. Ability to do in-person/on-the-phone dictation.
  6. Highly motivated, with a capacity to multi-task in a fast-paced environment.
