Job Requirements / Description

An HVAC mechanical contracting business located in Walnut Creek is looking for a reliable individual to process accounts payable, accounts receivable, and provide administration support. For the right person who is willing to take on additional responsibilities, this part-time position (24 hours/week) has the potential to increase to full-time. The position reports to the Controller.
Accounts Payable:
Process a high volume of A/P invoices with speed and accuracy as follows:

  • Review invoices, obtain proper approvals, and match invoices to PO's
  • Ensure invoices are entered and paid timely in accordance with company policy and vendor terms
  • Identify and capture vendor discounts when available
  • Audit sales tax rate on all invoices
  • Review and analyze accounts payable aging
  • Weekly check run
  • New vendor setup
  • Credit card reconciliations
  • Process employee expense reimbursements
  • Maintain exceptional relationships with vendors
  • Other duties as needed
Accounts Receivable:
  • Process daily deposits and record transactions in Foundation software
  • Research and resolve account discrepancies
  • Review and analyze accounts receivable aging
  • Responsible for contacting customers regarding past due accounts
Office Administration and Other Duties:
  • Front desk duties including handling incoming and outgoing packages, distributing mail, processing walk-in sales, and miscellaneous filing
  • Order office supplies as necessary
  • Work with IT to order and set up new phones and/or computers for new hires, and assist employees with ongoing phone and computer needs
Qualifications
  • Three years prior A/P and A/R experience
  • Excellent written and oral communication skills an absolute must
  • Must be organized, self-motivated, reliable, and able to work with a minimum of supervision
  • Must have attention to detail
  • Ability to work collaboratively and cooperatively with vendors, customers and coworkers
  • Proficient in Microsoft Word and Excel, with the ability to sort data and maintain spreadsheets
  • A team player willing to help out wherever needed
  • Experience with Foundation Software a plus
  • Experience in the construction industry a plus
