The Office Manager will oversee and directly manage all the responsibilities and tasks associated with office management. This role will also be responsible for developing, implementing and managing practices and procedures involved with office management. The individual will be required to work cross functionally with-in the Facilities Operations and EH&S function as well as across the company with a high level of understanding of the customer service component of the role. The Office Manager will partner with executive assistants on relatable tasks. This role will co-manage our housekeeping staff to assure day porter and on-site event responsibilities are performed.
The individual will also directly support the VP of Facilities Operations and EH&S assisting with department meetings, communications and document management for functions with-in the Facilities Operations and EH&S Organization. Additional tasks and responsibilities are also shared below.
Duties/Responsibilities:
Manage all office related functions and responsibilities that pertain to the following:
  • Directly manage all office activities, contracts and associated software systems
  • Manage and assist with budget planning and forecasting.
  • Function as the point person for all landlord related activities regarding building amenities and events including company communications.
  • Partner with EAs on all on-site activities as it relates to in-place procedures and guidelines established by both the office manager and EA's
  • Perform as the Facilities Operations liaison for all CA related activities.
  • Employee on-boarding
    • Manage employee orientation training as it relates to Facilities Operations
    • Seating assignments and building allocation across campus
    • Parking assignments across the campus
    • Building Amenities
  • Co-manage American Cleaning Staff
  • Address service tickets relating to Office Management, Facilities, and EH&S
  • Manage filing and forwarding of mail to appropriate recipients.
  • Manage and establish workflow processes requested by Facilities, Operations, and EH&S
Supervisory Responsibilities
  • Co-manage our contracted housekeeping contract and personnel.
  • The new employee on-boarding process and associated trainings
  • Oversees the daily workflow of office management responsibilities.

Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
