Job Title: Grant Accountant


Reports To: Director of General Operations

Since 1970, CLARE|MATRIX has provided quality substance abuse and mental health treatment to men, women, and children in Southern California.


Summary:


This position provides accounting function support for all grant monitoring administration, compliance, grant accounting, and financial reports of awarded grants through their final closing. The position is responsible for overseeing the financial and grant services in the organization. This includes budget preparation, cost reporting, and ensuring funds are utilized in accordance with grant regulations. This position is the department's point of contact for our funders.


Essential Duties and Responsibilities:

  • Ensure compliance with internal controls and accounting policies and procedures.
  • Maintain positive communications with funders.
  • Post and reconcile the general ledger and subsidiary accounts related to all grants.
  • Oversee funding and modifications of budget as projects progress through scheduled timetables.
  • Write grant award acknowledgment letters and track payments with the finance team.
  • Provide expertise and guidance throughout the grant and contract lifecycles.
  • Maintain and pursue education on accounting principles, compliance standards and grant regulations as best practices and procedures evolve.
  • Prepare monthly financial statements for all grants that have been funded.
  • Serve as a liaison between various business units, including development, finance, and the operations team.
  • Assist in the development, standardization, and implementation of effective policies and procedures for the Finance department to assure optimal performance of grant distribution.
  • Increase process efficiencies, streamline processes and related analyses, and provide recommendations to the Director of General Operations for data collection of grants.
  • Provide analysis, data, reports, and other fiscally relevant information when required.
  • Maintain accounting records for grants, HUD entities, and fixed assets.
  • Prepare and submit grant invoices.
  • Provide and assist in the agency's annual independent financial audit; by preparing schedules, worksheets, and any other required documentation that is needed by an auditor(s).
  • Preparation and reconciliation of grants for the current year.
  • Develop budget and budget narratives on all grants awarded.
  • Act as point of contact for annual grant audits.
  • Other duties as assigned.

Core Competencies, Experience & Skills:

  • Four-year degree (Bachelor's degree) in accounting or similar discipline required.
  • 5-7 years related accounting experience, with specific experience in analyzing and reconciling general ledger accounts.
  • Knowledgeable in generally accepted accounting principles (GAAP) and grant writing.
  • Ability to meet assigned deadlines.
  • Proficient in Excel and other Microsoft Office applications.
  • Excellent interpersonal and communication skills.
  • Systems oriented, organized with excellent follow-up skills.
  • Able to plan and manage multiple projects.
  • Demonstrated ability to build rapport with client base and work effectively in a team environment.

Medical History:

All employees whose functions require or necessitate contact with clients or food preparation shall complete a health screening report or a health questionnaire. Health screening report or health questionnaire will be provided upon hire. For employees working in a residential facility, a health screening report will be completed and signed off by a medical practitioner for clearance. All outpatient employees will complete at minimum a self-report screening questionnaire.


A TB test will be conducted under licensed medical supervision not more than 60 calendar days prior to or 7 calendar days after employment and renewed annually from the date of the last tuberculosis test. Staff with a known record of tuberculosis or record of positive testing shall not be required to obtain a tuberculosis skin test. However, if there is documentation that the employee completed at least 6 months of preventive therapy, the employee shall be required to obtain, within 45 calendar days of employment, a chest x-ray result and a physician's statement that the incumbent does not have communicable tuberculosis and has been under regular care and monitoring for tuberculosis. A chest x-ray within the prior 6 months is acceptable. The physician's statement shall be renewed annually.

This job will be primarily located at the CLARE|MATRIX offices in Los Angeles, CA.
