Our department is split into multiple disciplines: Recruitment, People Operations, Learning & Development, Compensation & Benefits, and HR Business Partners, and our Facilities Team.The People Operations team collaborates with the People & Places Department by supporting EVBox global employees on a wide scope of HR topics, while ensuring our internal processes and policies are updated, legally compliant and correctly applied throughout the employee’s lifecycle in the organization.As a key role in our People and Places Department, HR Specialist reports to Manager, People Operations. In performing this function, HR Specialists will collaborate closely with the HR Business Partners, Talent Acquisition, People Development, Compensation & Benefits, Office Support Team, as well as Employment Counsel and other relevant teams in the organization (Finance, IT and Legal).About the roleAs HR Specialist you support our People & Places department in the day-to-day operations, ensuring employees get the best experience throughout their employment journey in EVBox.The role entails, but is not limited to the following: Provide administrative support to employees on a worldwide scope;Complete HR tasks in our Jira HR ticketing system throughout the employee lifecycle in the organization (i.e., from hire to retire), not exclusively but including, new hires, promotions, terminations, job moves, contract extensions, changes of working time, salary increases, etc;Prepare a diverse range of contractual documents based on the employee’s entity/location, taking into consideration local regulations and requirements;Update employee records with new hire information and/or changes in their employment status in the HRIS BambooHR, ensuring its correctness and reliability;Act as a go-to person for employees on a global scope, facilitating their needs by providing information, guidance on processes, and administrative support (e.g., time-off management, business travel, benefits arrangements, ad-hoc reports and documents requests, etc…);Collaborate with external vendors in current agreement with EVBox (e.g., for visa or 30% ruling applications), ensuring the service provided meets the standards of the Group and serves the employee’s best interests;Contribute to various projects with the aim of improving internal processes and, ultimately, nurture a positive employee experience;Hold a critical mindset regarding all the processes in place in the People Operations team, proposing improvements and automatization possibilities that allow us to act in a more effective and efficient way;Contribute to the continuous improvement of HR Operations internal documentation and knowledge base, securing our core processes are documented and up to date;Update, develop and implement HR policies throughout the organization, whenever the need arises and when they serve the purpose of better clarifying the employee and/or the business goals and directives;Monitor and improve data quality in HRIS and across HR tools;Research, gather data and conduct data analysis and reporting according to the department and business needs;Stay up to date and comply with changes in labor legislation based on the different entities’ locations, contributing to the correct execution of laws, regulations and policies. About youEducation requirements Degree in Human Resources, or in other relevant areas (i.e., Psychology, Management, Business Administration);Basic knowledge of employment law and regulations in EVBox’s operating countries, with a primary focus in Dutch labor law. Knowledge of other countries would be valued as well (e.g., Germany, US, France, Denmark, Norway);Good knowledge of human resources or workforce basic principles and best practices; Experience requirements Previous relevant work experience in HR service/administration (including internships);Previous experience working in a manufacturing company is valued;Previous experience working in an international organization is valued;Proficiency in using MS Office. Solid knowledge of Excel is a plus;Previous experience working with a ticketing system approach (experience with Jira system is valued);Previous experience working with an HRIS is highly valued (especially BambooHR);Previous experience in payroll for EVBox’s operating countries is valued. Skills required Strong understanding of HR best practices;Hands-on with administrative tasks, attention to detail;Analytical thinking and a proactive, problem-solving aptitudeExcellent communication skills in English, both written and verbally (proficiency in Dutch is a plus);A good sense of customer service with a customer-first approach;Ability to handle sensitive information ethically and with discretion;Ability to work in a fast-paced environment;Excellent cross-functional collaboration, communication skills and teamwork;A critical and continuous improvement mindset;Ability to handle critical issues in a polite and positive manner.
