Cooley is seeking a Client Account Manager to join the Accounting and Finance team.
Position summary: The Client Account Manager will oversee the billing cycle process to ensure accurate and timely billing for assigned clients; assist attorneys, clients and other business professionals with billing questions and resolve complex billing problems. Specific duties and responsibilities include, but are not limited to, the following:
Position responsibilities:
- Responsible for the monthly billing of clients corresponding to designated billing attorneys. This includes distribution, logging, preparation, posting bills to clients in a timely and efficient manner and handle time entry adjustments.
- Provide training to attorneys, client account supervisors and specialists regarding new billing procedures and use of software.
- Provide assistance and guidance to attorneys, clients and business professionals in resolving complex billing problems.
- Provide weekly/monthly report detailing billing performance of delinquent responsible attorneys to Senior Client Account Manager and Director of Client Accounts.
- Follow-up with attorneys on aged unbilled inventory and update WIP notes report findings to Senior Client Account Manager and Director of Client Accounts.
- Evaluate, test and recommend software enhancements, programs, report changes and fixes.
- Obtain the proper designations for reassignment when responsible attorneys depart and make changes in system.
- Maintain client financial notes in the billing system.
- Close client and matter numbers, maintain pertinent master information and provide backup to open and quality control purposes.
- Review outside counsel guidelines from BIC during new client intakes.
- Coordinate with SiteScan regarding research of billing documents and provide reports used for audit and quality control purposes.
- Handle monthly cleanup of internal accounts to clear out as directed.
- Create general ledger entries for professional costs.
- Review daily new client/matter admin process.
- Review workflow requests from practice groups and execute per billing policies and procedures.
- Provide backup support to other Client Account Managers, Supervisors and Specialists, as needed.
- Serve as direct supervisor and mentor to direct reports.
- Provide day-to-day supervision of billing personnel, direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage staffing coverage, review and process time logs/time off requests.
- Support staff development and continued educational opportunities.
- In collaboration with immediate supervisor and CN HR, participate in hiring, performance appraisals, counseling, termination and other employee lifecycle events.
- All other duties as assigned or required.
Skills and experience:
Required:
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications.
- Ability to work extended and/or weekend hours, as required to support bi-coastal teams (Mandatory in Q4 financial push).
- Ability to travel, as required.
- 5+ years experience in billing.
- Comprehensive knowledge of billing systems preferably 3E and Proforma Tracker.
- Prior software conversion experience.
- Strong understanding of billing principles, accounts receivables, accounts payables and collections.
Preferred:
- Bachelor’s degree in Accounting/Finance.
- Law firm accounting experience.
- Supervisory experience.

The expected annual pay range for this position is $115,000 - $170,000. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
