SUMMARY OF POSITION

The Business Analyst plays a vital role in the agency’s ability to operate at the highest level of profitability and operational efficiency. This person will be integral in ensuring the smooth and effective operation of the company and supporting OBE’s employees operationally on a project basis and business level.

ESSENTIAL JOB FUNCTIONS

Software and Internal Systems Management & Maintenance (35%)

  1. Maintain System Service Grid and coordinate annual review of software and internal systems
  2. Develop and maintain relationships with providers
  3. Serve as “go-to” contact for day-to-day project management and system of record issues
  4. Drive the proper planning, costing, garnering approvals, and delivery of system enhancements
  5. Responsible for user license management, including creating new accounts, deleting old accounts, securing additional licenses, approvals management, etc.
  6. Create schedule for and manage updates to Intranet
  7. Facilitate annual rate card review with Leadership team
  8. Responsible for updating budget structures and templates, as needed, ensuring accuracy

Systems and Process Training (15%)

  1. Organize and run quarterly full-day orientation and training sessions for Procim system users
  2. Create and maintain standard operating procedures and training documents/videos for system administrators and users
  3. Provide department-specific training, as needed, to ensure consistent adoption and implementation across the Account, Production, Creative, and Operations departments
  4. Provide troubleshooting and ad hoc training for specific user requests and queries as needed on various systems/software

Report Preparation & Analysis (15%)

  1. Support key management personnel with core business analytics for ongoing reporting and analysis
  2. Participate in business process management and modeling group efforts to collect and analyze metrics and continually improve processes owned by the Business Operations team
  3. Create reports with software providers to fulfil personnel and project reporting requests and provide training on generating reports
  4. Lead internal and external project audits as needed

Business Operations (25%)

  1. Participate in third-party oversight audits and assessment requests by clients
  2. Develop processes to manage supplier diversity program and client reporting for diverse supplier spend
  3. Maintain business operational contracts and leases, including management of renewal schedule, contract proposals, and Executive approval
  4. Support Executives in oversight of office operations and budgets, ensuring facilities are functioning and appropriate infrastructure is in place to support employees to do their jobs

Project Level Support (10%)

  1. Build project budgets, as requested
  2. Liaise with Finance and Production teams to ensure project POs are tracked and managed appropriately
  3. Support project teams with expense reporting, as requested
  4. Provide on-site support as needed

DESIRED SKILLS AND EXPERIENCE

EDUCATION

  1. BA/BS in marketing, business administration, communications, or related field

EXPERIENCE

  1. 3-6+ years of experience working in Business Operations including financial and budget management
  2. Experience working at an agency or similar client focused service business, preferred
  3. Experience training other personnel on systems and procedures
  4. Experience working with project budgets, project tracking and scheduling, or other event management documentation software
  5. Experience as system administrator for Sharepoint or similar
  6. Experience with ERP management and financial software, a plus

  6. Willingness to travel up to 25% of the time.

Compensation Range: $67,000 - $97,000 annually. This is the pay range OBE believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on level of experience, relevant skills, professional certifications, market pay, and demand for the role. OBE reserves the right to modify this pay range at any time. For this role, Benefits include: medical/dental/vision insurance, employer paid basic life and personal accident insurance.
