Position Title: Executive Director of Financial Aid Services
Status: Full Time
Job Summary
The Executive Director of Financial Aid Services reports to the Vice President of Business and Fiscal Affairs and CFO. This position is responsible for the overall supervision and management of the Student Financial Aid Office to ensure compliance with federal and state regulations, as well as meet the needs of the students. The Executive Director of Financial Aid Services is also responsible for providing overall leadership in establishing the philosophy and implementation of financial aid policies, procedures, and programs.
Essential Job Duties
- Implement and improve student-centered service programs
- Maintain an up-to-date understanding of state, federal, and institutional regulations and assure compliance with the same
- Oversee the coordination and completion of reports for federal and state agencies, annual audits, and/or program reviews
- Oversee the receiving and disbursement of university, state, federal, and private financial aid funds
- Manage students’ communications to ensure that deadlines and important information are sent to students in a timely fashion
- Evaluate and update all information communicated on the department web page for accuracy, ease of search topics, and user-friendly reading and understanding
- Oversee the coordination and awarding of state, federal, private, and internally awarded Financial Aid
- Hire, train, supervise, and evaluate student financial service professionals and support staff
- Develop and manage the annual operating budget for the department
- Track athletic grant in aid program by sports
- Host financial literacy workshops concerning financial aid assistance
- Work in collaboration with all campus departments, especially the Bursar’s Office, Admissions, and the Office of the Registrar to provide quality service to students
- Provide leadership to promote and maintain integrity, accuracy, and timeliness in the delivery of financial aid to students
- Serve on the University’s Scholarship Committee assisting in the maintenance and reporting on scholarship budgets and awards
- Create and/or maintain a comprehensive Financial Aid Policy and Procedures Manual
- Oversee the coordination of campus student employment (work-study)
- Develop and maintain effective fiscal controls and proper record-keeping
- Encourage student-oriented services and positive problem resolution
- Ensure adequate long-range planning activities for the office
- Actively participate in appropriate professional organizations and attend conferences and trainings to stay abreast of new and changing state and federal regulations
- Develop a training program for the department and other University staff to ensure compliance with Financial Aid federal, state, and University policies and procedures.
- Advise the Vice President of Business and Fiscal Affairs CFO of trends and developments in Financial Aid
- Monitor adherence to the NCAA rules as they relate to the awarding of student financial aid
- Prepare required reports such as IPEDS, FISAP, etc.
- Coordinate the integrated and automated packaging of all financial aid awards with the university IT staff
- Perform other duties as assigned by immediate supervisor
Qualifications (Education, Experience and Specialized Training)
- Bachelor’s degree in related area
- Master’s degree in related field of study preferred
- Eight Plus (8+) years of related experience
- Six (6) years of supervisory experience
- Five years (5) of experience working with student financial aid at the collegiate level
- Experience with Common Origination Disbursement (COD) is required
- Experience with the National Student Loan Data System (NSLDS) is required
- Previous experience using Ellucian Colleague is desired
