Responsible for monitoring voicemail grouping and responding/following up in a timely manner.Understands and follows HIPAA regulationsComplete check in and Check out of clients at time of Clinic &/or psych appointments which includes updating client demographic information, collection of co-pays, co-insurance, outstanding bills, preparing daily deposit sheets. Adheres to cash handling procedures.Support the Clinical & Psychiatry team with answering/triaging the clinic phone, collecting consents for initial clinical intake appointments in a medical record and Healthelink, front desk coverageResponsible for management of ClientTell Reminder call system and updating electronic medical record and engaging clients for rescheduled/cancelled appointments.Follow all policies and procedures of the Behavioral Health ClinicAct as the point person for mail which includes, sorting inter-office mail, receipt and distribution of mail in a timely manner daily, maintaining sufficient postage for agency needs, fulfill end of day outgoing mail requirements (to include taking mail to postal box or post office when necessary). Manage functionality of postage machine, along with full operational knowledge of this equipment. Provide accounting with month end postage reports (per department).Responsible for opening and closing proceduresManage copier machines and record destruction servicesAssist assigned program areas with case file management, new hire orientation, scanning and copying of documents, data entry, and program satisfaction surveysAbility to provide coverage at Williamsville or Symphony circle clinic locations during time off or unplanned absencesWork collaboratively with the Corporate Integrity Department to ensure fulfillment of record requests and office practices are in compliance with HIPAA RegulationsOther duties as assignedKnowledge, Skills, and AbilitiesMust have excellent communication skills and customer service and sensitivity to the needs of persons with disabilitiesAbility to multi-task and be detail oriented, ability to work independently and be an enthusiastic team player.
