As Entertainment and Tours Coordinator, you will play a vital role in supporting the efforts of the Account Managers within the Entertainment and Tours vertical. As the point of contact between Sales, Operations and Production, your mission is to assist in keeping the pipeline up to date, coordinating routing plans, and processing internal requests, all while anticipating needs/problems before they arise. This position requires exceptional organizational skills, proactivity, attention to detail, and the ability to collaborate with internal and external stakeholders. Some travel may be required.
Your role on our team:
Enable the Account Managers, within the Entertainment and Tours vertical, via the following:

  • Communicating with operations and production on early-stage opportunities, whether they are feasible or not as well as monitoring challenges related to stock and gear availability.
  • Submitting Lead-Time-Request in Salesforces-CRM; Requesting Samples, renders, print guides, etc.
  • Monitoring timelines and entering data into Salesforces-CRM.
  • Communicating with Account Managers regarding project routes and how they will be processed.
  • Gather necessary information from clients' including billing information, shipping information, technical plans, seating plans, etc.
  • Coordinate with clients' to obtain required signatures on quotes and contracts.
  • Ensure timely payments to vendors by tracking payment schedules, communicating with the finance department, and resolving any payment-related issues.
  • Meeting preparation, including presentation decks, images/videos, demo, etc.
  • Maintain an accurate and up-to-date pipeline of entertainment and tour projects, including prospects, leads, and sales opportunities.
  • Provide reports and updates on the pipeline to the sales and management teams.
  • Identify process inefficiencies and bottlenecks within the sales cycle and collaborate with the Sales Coordinator to streamline workflows and enhance interdepartmental coordination.
  • Research and analyze competitors' activities, pricing strategies, and product offerings.
  • Provide insights and recommendations to improve operational efficiency and enhance the overall customer experience.
  • Other general administrative tasks.
You are the person for this role if you fit the following criteria:
  • Undergraduate degree in administration, operations management or a related field
  • Prior experience in administration, operations, production, or supply chain management, preferably within the concert and tours industry.
  • 3 years in proven success in a coordination, project management, Sales operations, Inventory management and/or Logistics and inventory management within the Live Entertainment space
  • Knowledge with Excel and Google Workspace
  • Resourceful, self-motivated, able to think outside the box and have problem-solving skills
  • Organized yet flexible, able to navigate frequently changing priorities in a fast-paced and constantly changing environment
  • Ability to work on multiple projects simultaneously and prioritize requests
  • Proactive in anticipating needs/problems/requests and suggesting new ways to work in the interest of greater efficiency
  • Dedicated team player
  • Diplomatic and personable with strong written and verbal communication skills in English
  • Some travel (<25% may be required)
Nice to have:
  • Knowledge in Salesforces CRM
  • Experience in the world of live events (concerts, corporate events; music festivals, touring productions, lighting design);
  • The ability to speak additional languages (Spanish, French, other).
