Duties

General

  • Perform clerical duties, maintain files, and organize documents
  • Send office memos regarding meetings, conferences, and deadlines
  • Monitor front desk and comply with all security procedures for visitors
  • Assist in planning company events, meetings, luncheons, and employee team building activities
  • Create orders, track, and invoice office supplies for each department
  • Manage inventory of necessary office supplies and coordinate reordering
  • Set up, break down, organize, and maintain conference rooms, training rooms, and meeting rooms
  • Accurately note all staff and client information according to confidentiality standards and HIPAA requirements
  • Ensure compliance with HIPAA as well as internal policies
  • Assist with all aspects of the service delivery and internal operations.
  • Work to maintain healthy relationship between clients, staff, and the company.

Files

  • Organize and file charts
  • Oversee mail deliveries, packages, and couriers
  • Copy and scan documents
  • Update client and staff information and electronic records
  • Distribute forms and paperwork to clients and staff and check them over to ensure that required fields are completed properly

Communications

  • Greet office visitors and make them feel welcome
  • Answer phone inquiries and provide basic company information
  • Answer phone calls from clients
  • Route calls to the appropriate department or individual
  • Document phone calls and respond to emails
  • Answer client questions, respond to RFI’s and provide assistance when necessary
  • Assist with insurance authorizations and billing

Scheduling Duties

  • Schedule appointments
  • Predict staffing needs and coordination of visits
  • Ensure there are no scheduling conflicts and if any arise resolve them.
  • Keep clients and field staff updated on their schedules
  • Obtain prior authorizations for scheduled procedures
  • Ensure there are no scheduling conflicts
  • Keep schedules in the database up to date.
  • Answer client calls, field questions, and assist clients in making appointments
  • Change or cancel appointments as necessary

Staff Support

  • Collect documents for all staff
  • Provide training of office procedures to field staff.
  • Welcome and provide information to new and prospective employees
  • Assist and facilitate in the hiring
  • Make travel arrangements for staff
  • Maintain schedule schedules
  • Arrange and coordinate field activities.
  • Assist and support field staff as needed.

Requirements

  • Eligible to work in the USA
  • Valid Driver’s license
  • Must pass pre-employment screening
  • Must travel to clients in NY, CT an MA

Compensation

$18 - $25 per hour

Benefits (for eligible staff)

  • Vacation Pay
  • Sick Pay

Hours of Work

  • 9am to 5pm
  • Some after hour on call
