Job Description
Position Summary
This position is responsible for the day-to-day HR shared service functions which include the interpretation and coordination of CRB policies, procedures, and programs as they relate to employment, compensation, benefits, and performance management. The HR Coordinator is primarily responsible for providing operational excellence as a foundation to deliver superior HR services to employees to drive overall positive experience. Additionally, this position is responsible for the maintenance and administration of the human resources information system (HRIS) system and serves as the first point of contact for internal users. This position requires a high degree of confidentiality as well as experience with Human Resources policies and procedures.
The HR Coordinator assists the HR Team in coordinating and executing various tasks and projects. Additionally, this individual will work to optimize CRB's engagement efforts which will include, but is not limited to, working with the internal recruiting and people operations departments to facilitate the onboarding and offboarding process within the HRIS and applicant tracking system (ATS) systems. The HR Coordinator is expected to be a data and process driven professional with a continuous improvement mindset who can adapt quickly in a fast-paced environment with high attention to detail.
Responsibilities
- Provide operational excellence and business support as a foundation to deliver superior HR services to employees and key stakeholders to drive a positive employee experience.
- Performs administration and data entry within Dynamics 365 (HRIS) and SmartRecruiters (ATS) and various databases to provide information and support services to employees, managers, and job applicants primarily in the functional domains of onboarding and offboarding, position management, and processes additional miscellaneous personnel actions.
- Responsible for the accuracy of data integrity within the HRIS and ATS systems along with assisting in testing of system changes, report writing, and reviewing data flows for process improvement opportunities.
- Oversee onboarding/offboarding process via HRIS and ATS systems to ensure all system task checklists are completed accurately and on time.
- Conduct New Hire Orientation by guiding new employees through the onboarding and assimilation process; this includes but not limited to explanation of benefits, employee programs, and policies.
- Assimilate new hires seamlessly into CRB leading up to their first day and beyond.
- Conduct and oversee pre-hire background screenings (if applicable, professional license verifications, and other required screening checks; ensure they are completed within timelines).
- Maintain HR Records and employee personnel files in accordance with state and federal document retention and filing regulations.
- Perform the exit process for departing employees by scheduling and conducting exit interviews, reviewing exit surveys, and processing separation paperwork.
- Provide support to Talent Acquisition team through coordinating candidate travel and scheduling interviews as needed.
- Assist Talent Acquisition in coordinating candidate travel, scheduling interviews, and collecting offer details to prepare offer letters, if applicable.
- Provide support to the immigration process including non-immigrant (i.e., OPT/STEM, EAD, H-1B, TN, L-I and J visas) and immigration petitions (permanent residence sponsorship) as it relates to extensions, amendments, transfers, and terminations, as needed.
- Prepare ad-hoc HRIS system reports and special projects as needed.
- Contribute to continuous improvement initiatives throughout the department.
Qualifications
Minimum Qualifications
- Associate or Bachelor's degree in Human Resources, or a related field, is preferred.
- 2-5 years of experience in a Human Resources or support function.
- 1-3 years of experience supporting an organizations Human Resources Management (HRIS) and Applicant Tracking software (ATS). Dynamics 365 F&O ERP is preferred.
Additional Qualifications
- Proficient in Microsoft Office Suite.
- Intermediate to advanced knowledge of Microsoft Excel, including PivotTables, VLOOKUP function, and formula writing, is preferred.
- Prior experience supporting an organization's immigration program is preferred.
- Must be a self-starter and able to prioritize, multitask, and work with minimal direction/supervision.
- Ability to assess employee questions and either address or escalate when appropriate.
- Ability to investigate and learn new technologies.
- Ability to prioritize and organize requests from multiple stakeholders.
- Demonstrated organizational, prioritization, and attention to detail skills to allow for timely, effective, and accurate performance of job duties.
- Results-oriented with emphasis on follow through and ability to carry tasks to completion.
- Excellent verbal and written communication skills, including demonstratable experience in overall Human Resources Communication.
- Continuous improvement experience is preferred
