Job Summary
The Grant Accountant is primarily responsible for managing a portfolio of awards (i.e. contracts, grants, and charitable contributions) by preparing grant invoices, budgets, budget modifications, and other support in accordance with organization policies & procedures, and ensures compliance with Federal, State, & Local regulations and funder specific regulations.
Essential Duties and Responsibilities
Awards Management- Invoicing & Records
  • Prepares and submits grant invoices & other support for a portfolio of awards within established deadlines.
  • Resolves any issues regarding grant invoices, including disallowed expense, technical issues, or unpaid invoices.
  • Reviews the General Ledger (GL) by award in detail to analyze costs to ensure accuracy of the GL and recommends changes to GL, if needed.
  • Ensures invoicing and reporting of costs comply and adhere to Uniform Guidance Title 2 CFR 200 and ensures compliance with other federal, state, & local regulations, and funder specific regulations.
  • Ensures all award documents are complete and organized, including, but not limited to invoices, invoice support & schedules, executed contract/notice of awards, contract revisions, program reports, and other correspondence related to the award.
Awards Management- Budgets & Audits
  • Prepares grant budget for new or renewed awards.
  • Prepares budget modifications as required during the award period.
  • Acts as the main point of contact during Financial Audits from the funder and provides financial records and explains those records to auditor, as requested.
  • Assists with Annual Audit of the Corporation, including providing records and reconciling outstanding invoice balances with the funding source.
Awards Management- Monitoring & Reporting
  • Tracks grant budget monthly to ensure maximum utilization and makes recommendations to Program Directors/Managers to ensure spend down.
  • Prepares other standard and other ad hoc grant reports for Executive Management and Program Directors/Managers.
Other Duties
  • Serves as backup to other Portfolios of Awards, as needed
Performs other duties as assigned by your Supervisor and/or the Chief Financial Officer
Qualifications
Education, Skills, and Specifications
  • Requires at least Two (2) years of Awards Management and/or Accounting Experience.
  • Requires Bachelors degree in Accounting, Business, or related field from an accredited institution OR a combination of education and related work experience.
  • Knowledgeable in Federal, State, and Local Payroll Regulations and Requirements; Able to work well under rigorous deadlines; teamwork oriented; excellent interpersonal and human relations skills and aptitude for communicating across the organization with employees, department managers and directors; demonstrates good organizational and time management skills; detail oriented and thorough; excellent numerical skills and Microsoft Excel skills; skilled in collecting information, analyzing data, and reporting results; understanding of basic accounting principles; understanding of Internal Controls; Demonstrate ability to adhere to strict confidentiality

  • Must have a reliable automobile for use on the job (mileage to be reimbursed), Valid California Drivers License, and state required automotive insurance coverage.
  • Must have proof of COVID-19 vaccination and booster.
